We are seeking a highly skilled and detail-oriented Proposal Coordinator to join our team. The RFP Coordinator will play a crucial role in the development of tender submissions in response to a request for proposals (RFP/ RFQ / RFI) from potential clients. The successful candidate will be responsible for thoroughly understanding project requirements, collaborating with subject matter experts, and creating compelling and comprehensive responses that effectively showcase our company's capabilities.
Key Responsibilities
- Work with Business Units and technical teams to create professional, high-quality proposals from initiation through to production and delivery of the final product
- conduct market research and gather information about potential clients or business opportunities
- Review project opportunity documents to evaluate requirements, contractual terms and conditions, and evaluation criteria for bid submission compliance
- Compile company branding materials, prepare qualification materials, and coordinate development of graphics and page layout design
- Work with our Business Unit teams to coordinate the flow of information to ensure internal and external deadlines are met and appropriate reviews are completed
- Complete and/or coordinate document formatting, editing, printing, distribution, and overall document reviews
- Develop strong internal relationships to foster responses to requests in a timely manner, while maintaining high quality work consistent with corporate marketing, brand messaging and proposal writing standards
- Implement quality control measures to ensure proposal requirements and corporate standards are met
- Track and monitor potential project opportunities using internal systems
- Curate and manage proposal content for ongoing use in internal libraries and Loopio.
- Act as the final quality control for the proposal, ensuring it is error-free and meets company standards
- Participate in proposal debriefings to ensure continuous quality improvement and to identify enhancements for proposal content and process
Knowledge, Skills, and Competencies
- Minimum of 3 years of experience supporting preparing proposals, proposal development and tender submissions
- Advanced skills in Microsoft Office 365 and experience with large and complex document formatting
- Proficient with Loopio RFP software
- Post-secondary education in administration, marketing, business, or communications field
- Designations in APMP or SCMP will be considered an asset
- Experience with Adobe Creative Suite (In-Design, Illustrator, and Photoshop) is an asset
- An aptitude for formatting, editing, layout and making written content sound like "one voice"
- Strong analytical thinking and attention to detail when managing content
- Effective collaborator with the ability to manage multiple priorities and delegate responsibilities
- Capable of organizing workflow to meet tight deadlines while balancing input from various contributors
