Administrative Assistant, Member Services (Full-Time, Temporary Summer Student)

Location: Edmonton, AB

Overview:

This position reports directly to the Manager, Plan Administration. The Administrative Assistant, Member Services is responsible for a variety of service and support related duties for ARTA. The primary duty of the Administrative Assistant is to assist the Member Services team in the day-to-day administration of the ARTA Benefit Plans.

This position works Monday to Friday and hours of work are 8:30 a.m. – 4:00 p.m. This is a temporary position with an expected end date of August 31, 2025.

Key Responsibilities:

  • Provide support for the Member Services team by performing such duties as:
  • Sorting and categorizing member inquiries.
  • Responding to member requests for forms and information documents.
  • Member account maintenance such as address updates and status changes.
  • Providing application and information packages to new and existing members.
  • Following up on incomplete member information.
  • Update member contact information, maintaining a current database.
  • Management of all incoming and outgoing mail, including processing of claim submissions received.
  • Maintaining a functional electronic filing system for the central files of ARTA.
  • Performing various administrative support functions as requested by the Manager, Plan Administration and the Director, Plan Administration.
  • Participate in staff meetings, functions, and events in contribution to the ARTA team.
  • Acquire skills and develop competencies related to these duties and responsibilities, in keeping with changes that may occur from time to time.
  • Maintain strict confidentiality regarding the affairs of ARTA and its members.
  • Perform other reasonable duties as required.

What you will have:

  • Previous administrative experience and/or current enrollment in a relevant post-secondary program. Education or experience in data administration is an asset.
  • Demonstrated commitment to meeting stakeholder needs in a service-oriented environment.
  • Strong interpersonal skills with enthusiasm for building positive relationships in a member-driven context.
  • Excellent written and verbal communication abilities.
  • High level of attention to detail and accuracy.
  • Proven time management and organizational skills.
  • Highly reliable, punctual, and able to follow through on tasks independently while contributing to a supportive team environment.
  • Computer literacy with the ability to troubleshoot basic technical issues.
  • Proficiency with Microsoft Outlook, Microsoft Office Suite, Adobe Acrobat, and document management systems is an asset.
  • Experience working in a member service driven environment, with not-for profit organizations, and/or retired populations is considered an asset.
