Overview and Purpose of the Role:
The Company is a new, large-scale health centre that is collaborating across the Ontario public health system to deliver high quality, efficient outpatient services.
Reporting to the Chief Strategy Officer, the Senior Project Manager, PMO plays a pivotal role in ensuring the successful management and execution of multiple complex projects across the organization, from corporate services to clinical functions and beyond. The incumbent demonstrates the ability to adapt to uncertainty – communicating clearly, focusing on problem-solving, and maintaining a strong sense of leadership and team alignment.
The Senior Project Manager, PMO oversees and manages project scope, schedule, budget, and resources, proactively addressing risks while adhering to best practices and internal policies. Beyond project management, the incumbent demonstrates strong leadership through mentorship of colleagues and strong relationships with stakeholders across all levels of the organization to drive effective communication and deliver solutions to project challenges. Additionally, the incumbent leads or supports effective management of resources (people, funding, etc.) associated with projects and programs, and foster collaboration and continuous improvement, contributing to the culture of the organization's growing team.
Responsibilities:
Project Management
- Provide input into the strategic direction of projects to ensure they align with organizational objectives.
- Successfully lead, manage, and/or oversee multiple simultaneous complex projects across the organization from concept to handover to ensure project objectives are met.
- Set, control and manage project scope, schedule, budget, and activities in alignment with project objectives and Executive Sponsor.
- Anticipate and accommodate different events that can turn risks into issues.
- Report to internal stakeholders on project status, including risk, schedule, scope, budget, and resources on a regular cadence.
- Manage projects in accordance with best practices and internal policies.
- Identify resources needed to effectively achieve project objectives, including human resources (skills, capacity) and other technology, tools. Support the relevant leader and team in securing the needed resources through recruitment or procurement.
- Identify and understand how different parts of the organization engage and impact each other.
- Develop and maintain complete project documentation including project charters, project plans, project closeout literature, and other as needed (e.g., business cases, status reports).
- Monitor, track, and report on project outcomes and benefits.
Team Leadership
- Coach and empower project managers and project teams to expand their capabilities on projects, drive continuous improvement and elevate morale.
- Forecast project resource needs and work with management to ensure projects are appropriately staffed.
- Ensure best practices, procedures, and methodologies are implemented on projects.
- Foster an environment of accountability to results, excellence, inclusivity, collaboration, and innovation.
Stakeholder Relationship Management
- Build and maintain relationships within the organization, and with external stakeholders as needed and appropriate (e.g., contractors, vendors, partners).
- Chair and facilitate project-related discussions with project teams, senior leadership, and others as appropriate to define effective solutions to address project challenges, and to drive effective communication within project teams regularly and to leadership as needed and appropriate.
Skills and Experience
- Minimum seven (7) years' experience successfully managing multiple simultaneous projects, preferably in a healthcare environment.
- Advanced knowledge of project delivery methods, project controls (including budget management), and the ability to foresee issues and potential challenges.
- Demonstrated ability in managing stakeholders and change.
- Leadership experience, with demonstrated ability to motivate and coach colleagues.
- Superior interpersonal and communication skills to engage diverse stakeholders effectively, inspire collaborative problem-solving, and influence without authority.
- Ability to make effective oral and written presentations is required.
- Experience in defining and tracking performance metrics (KPIs, benchmarks, etc.) to assess organization or project effectiveness, efficiency, and sustainability, is required.
- Experience with risk assessment and mitigation planning, particularly in healthcare operations and clinical settings is preferred.
- Experience managing or supporting procurement processes, vendor relationships, contract negotiations and contract execution in a healthcare setting is preferred.
- Experience leading change management initiatives, including the development and implementation of new workflows, processes, and operational structures in a healthcare setting is preferred.
- Proactive, flexible and solution-oriented problem-solver.
- Experience in a start-up environment is an asset.
- Knowledge of Ontario healthcare regulations, privacy legislation (PHIPA), and compliance requirements for hospital or ambulatory care settings is preferred.
- Project Management Professional (PMP) designation is preferred.
Technical Skills:
- Microsoft Office Suite experience required (e.g., Excel, PowerPoint, Word)
- Project management software experience strongly preferred
- Experience with healthcare workflows, data sets, digital health systems (e.g., Electronic Medical Records, provincial health reporting systems) is a plus
