The Opportunity

Reporting to the CFO & VP of Operations, the Director of Business Support provides strategic leadership in the areas of administration, property management, corporate governance, information technology, and procurement and contract management in accordance with COVEs strategic vision. This role is instrumental in pursuing operational excellence in corporate services and implementing change management within the organization to ensure efficient and effective operations.

As an experienced professional, collaboration with different departments will be a key part of the job, ensuringthings are running smoothly, improving processes, and creating a productive workplace atmosphere. Leadership and organizational abilities play a crucial role in ensuring the administrative team functions effectively, all in support of COVEs overarching goals.

What you will be doing:

  • Providing leadership and driving operational change in administrative initiatives and developing and implementing administrative procedures and policies to optimize workflow, minimize redundancy, and improve overall effectiveness.
  • Creating, maintaining and updating organizational policies, ensuring compliance with legal and regulatory requirements.
  • Ensuring a robust corporate governance system in accordance with regulatory requirements and modern practices including all Board and committee logistics, updating corporate by-laws and ensuring corporate structures align with COVEs strategic initiatives, creating and maintaining all Board policies, preparing meeting materials for Board and committee meetings, completing regulatory filings and reporting requirements.
  • Ensuring critical technology and business needs are served through managing facilities and office services, including space planning, asset management, supplies, maintenance, and physical security at two corporate locations.
  • Managing the legal and compliance functions including risk assessments and mitigation strategies, procurement and contract processes.
  • Participating in cross-departmental projects or working groups such as business continuity and disaster recovery plans.
  • Creating a culture of accountability and empowerment, promoting a work environment that fosters teamwork, collaboration, respect, and inclusion within the team and throughout COVE, encouraging continuous learning and development.
  • Implementing and maintaining corporate knowledge systems including COVEs SharePoint system to ensure efficient document permissions, storage, retrieval, and disposal.
  • Establishing an IT framework with associated policies and guidelines to provide support for the day-to-day and long-term IT needs of the COVE operations and the COVE site. This includes managing technology and IT infrastructure, , ensuring effective utilization and troubleshooting of hardware and software systems, managing lifecycle replacement of hardware and appropriate disposal, cybersecurity initiatives, identifying and supporting implementation of process improvements, managing cloud based data, and managing the IT Managed Service Provider.
  • Adhering to COVEs human resource policies and procedures.
  • Other duties as assigned.

What you will bring:

  • Bachelor's degree in Business Administration, Management, Finance or a related field.
  • 10 years in a senior administrative role, preferably in a managerial capacity.
  • Strong leadership, communication and interpersonal skills and management abilities, with the ability to collaborate and build relationships with stakeholders at all levels.
  • Excellent organizational and multitasking skills, with a keen attention to detail.
  • Strong analytical and data-driven mindset, with the ability to analyze complex information and make data-based recommendations.
  • Exceptional problem-solving and decision-making skills, with the ability to think critically and strategically.
  • The ability to communicate complex information in a manner that can be understood by the target audience.
  • Proven ability to lead projects, priorities, and resources effectively in a fast-paced environment.
  • Unique knowledge, skill, ability and talent with developing, implementing, and sustaining a wide variety of complex and inter-related business, technical, people, and systems strategies and innovations.
  • Proficient in using office productivity tools and software, including Microsoft Office Suite.
  • Ability to thrive in a fast-paced and dynamic environment, managing competing priorities and meeting deadlines.
  • Strong ethical conduct and ability to handle confidential and sensitive information with discretion

Additional Assets:

  • Masters in Business Administration
  • Experience in the marine sector and/or a relevant technology-based industry.
