Executive Assistant to the CEO

This full-time position works onsite at our 17th Ave SW headquarters office in Calgary, AB.

Your mission as the Executive Assistant is to optimize the time and energy of the CEO through effective systems and processes, calendar organization, and strong administrative support so they can remain focused on the growth of the business. This role demands exceptional organizational skills, discretion, and the ability to anticipate the CEO's needs to facilitate effective and efficient use of their time. This full time position works onsite and is based at our 17th Avenue HQ in Calgary. Our HQ office enjoys flexible hours, casual dress, and a collaborative team environment.

Responsibilities:

  • Company Ambassador: On behalf of the CEO and the business, act as a main point of contact to communicate and liaise with vendors and colleagues. Maintain a high degree of professionalism, discretion and confidentiality.
  • Dedicated Admin Support: Provide daily briefings and dedicated support to the CEO. Oversee all incoming and outgoing communications including emails, phone calls, reports, and internal correspondence. General administrative support including ordering inventory, assisting with bill payments, payroll processes, and filing expenses.
  • Records Management: Ensure that important documents, such as reports, meeting notes, emails, letters, and other correspondence are actioned appropriately and securely stored. Ensure the needed systems and processes are in place to organize information and documents both physically and electronically.
  • Calendar Coordination: Keep the CEO's calendar up-to-date by adding events, work and focus blocks, travel time, meetings, and appointments. Serve as the primary guardian of the CEO's schedule, ensuring optimal time management by prioritizing and coordinating appointments, meetings, and communications.
  • Projects Support: Conduct research and report on various topics based on the needs of the CEO to support in business decision making. Assist with special projects as required. Grow to take on increasing responsibility and lead projects.

Knowledge, Skills, and Experience:

  • A minimum of 3 years of experience providing dedicated administrative or executive support to a business owner, Sr. Leader, or similar.
  • A proficient user of the Microsoft Office Suite productivity tools with the interest and ability to learn and use new software platforms, tools, and digital interfaces.
  • Self-directed with an exceptional attention to detail.
  • Effective written and verbal communicator who can adjust their approach to the situation and is not afraid to ask questions or for help.
  • Ability to work in a fast-paced environment with rapid growth.
  • A mindset of curiosity and continuous improvement.
  • Ability to conduct research and create reports, dashboards or presentations.
