About the role:

DMCL Chartered Professional Accountants is seeking an Executive Assistant to support a group of Partners who provide accounting, assurance, taxation, and business advisory services to private companies, not-for-profits, and entrepreneurs across Canada. These partners play a pivotal role in guiding clients with their specialized knowledge. The team aims to further scale the practice by adding a new key team member to serve as the primary point of contact for administrative and client support matters. The ideal candidate will have a proactive nature and superior interpersonal skills as they will interact with clients and facilitate the smooth operation of a bustling practice.

Our Administration team is made up of Office managers, Receptionists, Executive and Administrative Assistants who work diligently to support our people and keep our offices running smoothly. Whether in-person or on the phone, our clients can count on this team to connect them with the people and resources they need to achieve and exceed their business goals.

How you'll make a difference:

  • Provide administrative support to Partners and practice management teams;
  • Act as the primary contact for clients;
  • Manage client communication and correspondence (answer and direct calls, send correspondence, meet and greet clients in an efficient, professional, and friendly manner);
  • Responsible for vacation coverage of administrative assistants/reception;
  • Manage accounts receivable, deposits, and data entry;
  • Prepare client billings and statements;
  • Compile client financial packages (corporate, personal, and trusts);
  • Coordinate travel and meeting arrangements, including off-site meetings and conferences;
  • Coordinate and collaborate with other executive assistants to manage joint projects and serve as proxy for other Executive Admins as needed;
  • Perform ad hoc duties or special projects as assigned by partners or other additional and/or alternative duties as assigned from time to time;
  • Provide coordination, monitoring, and communication of office engagements, ensuring appropriate level staff are assigned;
  • Compose and prepare letters relating to routine correspondence with CRA;
  • Prepare, reconcile, and submit expense reports;
  • Maintain and refine internal processes and procedures to expedite workflow to ensure deadlines are met and operations run efficiently;

Who you are:

  • You are an individual with at least 2-3 years' experience as an Executive Assistant, ideally within a public practice or professional services firm, who understands the nature of accounting and practice management.
  • Beyond your experience, you embody a proactive nature, possessing a natural ability to keep things moving forward seamlessly. Your versatility shines as you thrive in a variety of tasks, embracing both problem-solving projects and routine assignments.
  • As a key team player, you relish the opportunity to be relied upon, seeking to become the right-hand person trusted for your commitment to delivering high-quality outputs. Your goal is to be the go-to individual, consistently demonstrating your dedication and capability to support the Partners and practice effectively.
  • You understand the importance of discretion and integrity, consistently maintaining confidentiality and handling sensitive information with the utmost care and professionalism.

Skills and abilities:

  • Ability to develop a positive rapport and convey accounting concepts and services with clients;
  • Self-motivated, results-oriented individual who demonstrates initiative and big picture perspective;
  • Ability to work in a confidential environment and handle sensitive information with complete discretion;
  • Ability to prioritize and manage multiple tasks and deadlines;
  • Ability to be flexible and available for overtime as needed;
  • Strong MS Office and Adobe Acrobat computer skills with the ability to grasp new technological tools.
  • Additional experience in QuickBooks, Simply Accounting, and other cloud-based applications being considered an asset.
