POSITION TITLE: Human Resources Administrative Assistant

LOCATION: Barrie

PURPOSE OF POSITION:
• To provide administrative support to the Human Resources program including Staffing, Workplace Safety, Group Pension Plan, Employee Health & Dental Plan, Notifications to Payroll/Finance Department.
• To provide administrative support to HR Director, HR Manager and Program Managers as required.

STATEMENT OF MAJOR RESPONSIBILITIES

SUPPORT FUNCTIONS
• Maintain file system and Human Resources Information System (HRIS)
• Provide day to day administrative support to the HR Director and HR Manager and to be responsible for record keeping on their behalf.
• Provide guidance and assistance to Managers with staffing, employee benefits, payroll changes, attendance management and other related tasks.
• Assist with Health and Safety duties.

HUMAN RESOURCES FUNCTIONS
• Prepare and process; recruitment advertisements and job postings; arrange and participate in interviews, and onboarding for new employees.
• Processing and overseeing all data contained within the Human Resources Information System (HRIS) and processing reports to support human resource performance management.
• Tract mandatory and voluntary training in (HRIS), utilizing reporting process.
• Maintain a schedule of health and safety inspections throughout the organization.
• Maintain Human Resources records such as policies and procedures, salary grids, organization chart and seniority list.
• Provide support with labour relations matters.
• Assist with the updating of HR forms, job descriptions as needed.
• Provide assistance for internal issues related to Workplace Safety and Insurance Board.
• Maintain all employee personnel files.

• Process the employee group benefits documentation, enrolment forms for new members; changes for members in the plan – i.e. salary adjustments, beneficiary changes, changes and termination of members and liaise with benefits provider.
• Send pension enrolment documents to eligible staff. Ensure accuracy and completion of application form and submit to pension plan carrier.

• Provide documentation to Finance Department regarding new hires, terminations, salary changes, corrections etc.
• Calculate and maintain employee attendance records (vacation/sick time, etc.) and follow up when necessary.
• Review benefits statement each month for accuracy; report inaccuracies with benefit provider.
• Annually prepare submission of forms and documents using the Annual Information Return and financial statements received from the pension plan carrier and submit to Financial Services Regulatory Authority of Ontario.

QUALIFICATIONS:

Education and Experience
• Community College Certificate in Office Administration.
• Minimum 3 - 5 years' experience at a senior administrative level.
• Human Resources experience

Knowledge and Skill Level
• Excellent communication skills (verbal and written), problem solving skills, and organizational skills.
• Ability to work with minimum supervision.
• Records management expertise.
• Must be aware of and adhere to Health & Safety Policy Rules & Regulations.
• Knowledge of human resources and benefits administration.
• Computer skills, office procedures, proficiency in grammar and spelling.
• Knowledge and experience with general office practices.
• Good judgement, discretion, tact and courtesy in dealing with enquiries.
• Ability to handle confidential information.
• Ability to organize workload and establish priorities.
• A working understanding of French Language is beneficial.

Valid driver's license and access to a reliable vehicle and sufficient insurance.

This position is not within the Bargaining Unit.

Salary Rate Range: $52,439.00-$60,424.00 annually,
Plus a generous Employee Benefit Package, including Wellness Program, Employee Assistance Program, Pension Plan & Health and Dental Plan.
