Executive Support:

  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Coordinate and schedule meetings, conferences, and special events for the executive team.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Act as a liaison between executives and internal/external stakeholders, including clients, vendors, and other team members.
  • Handle confidential and sensitive information with discretion and professionalism.

Administrative Support:

  • Perform administrative tasks such as responding to emails and managing correspondence.
  • Maintain accurate records, files, and databases for the executive team.
  • Prepare and process expense reports, invoices, and other financial documents.
  • Conduct research and gather information as requested by the executives.
  • Assist with special projects and initiatives as assigned by the executive team.
  • Prepare and coordinate venues, materials and catering needs for corporate meetings and events

Facilities Management:

  • Oversee the day-to-day operations of office facilities, including maintenance, repairs, and cleanliness.
  • Coordinate with external vendors and service providers for facility-related services, such as cleaning, security, and utilities.
  • Manage office supplies inventory and procurement, ensuring adequate stock levels at all times.
  • Identify opportunities for improvements in facility management processes and implement bet practices to enhance efficiency and cost-effectiveness.

Qualifications
  • 5+ years' experience of Executive Administration, providing support to senior level management or relevant experience
  • Office management experience an asset
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines
  • Excellent communication and interpersonal skills, both written and verbal.
  • Ability to work in a fast-paced environment, adapt to change and navigate continuously shifting requirements
  • Highly proficient in Microsoft Word, Power Point, Excel, Outlook. Ability to create and edit documents, PowerPoint slide decks as per guidance provided;
  • Ability to handle confidential information with integrity and discretion
  • Detail-oriented with a high level of accuracy in work
  • Proactive and resourceful problem solver with a positive attitude and strong work ethic
