The Housing Coordinator is responsible a wide variety of administrative office duties in support of the Housing Department and Charleston Residence. Such duties include but are not limited to employee check in/checkout procedures, registering guests, updating/maintaining employee related files, taking payments, issuing tasks and supervising security, coop and cleaning staff, and ensuring each tenant adheres to the LLSR housing agreement. The coordinator must strive to provide exceptional customer service and a positive employee experience.

Job Responsibilities:

  • Receive and process all Housing Applications and follow up with applicants in a timely manner
  • Check in residents and review all material, explain Tenancy Agreement, provide information on site and facilities, take damage deposit payment, provide keys
  • Overseeing and issuing tasks to department cleaners
  • Acting as the link between management and housing security
  • Process payments, accurately record check in dates, transfers, and rental rates for Payroll
  • Monitor and update the Housing databases on a continual basis, attention to detail is required
  • Checking emails daily, responding in a timely fashion, and forwarding emails to the appropriate individuals as required
  • Support residents with questions and provide assistance where required
  • Excellent communication and tenant relations skills, the ability to be impartial and professional when dealing with tenants
  • Provide effective and fair resolutions to tenants and communicate with management when dealing with difficult situations
  • Weekly residential inspections to ensure cleanliness and upkeep of units, record any maintenance issues
  • Effective communication with Housing Maintenance regarding any maintenance issues, prioritizing issues which must be dealt with immediately, following up to ensure maintenance has been completed
  • Continuous communication with Housing Management regarding daily operations
  • Daily cash balancing, data entry, processing payments
  • Daily errands including driving to the resort, pick up supplies from the Parts department, drop off laundry, pick up mail, etc.
  • Complete other tasks as assigned, including assisting other sub departments of Housing

Job Requirements/Qualifications:

  • Flexibility with scheduled shifts
  • Excellent administration and clerical skills
  • Excellent written and verbal communication skills
  • Good conflict resolution and crisis intervention skills
  • Previous supervisory experience as an asset
  • Ability to balance the needs of, staff, maintenance, tenants, and outside interests
  • Strong initiative with the ability to take responsibility for work unsupervised
  • A police background check, from your home country or province, will be required upon commencement of employment
  • A valid Alberta or International drivers license and a clean driving abstract are an absolute must for this position.

4 Days On / 3 Days Off
