Reporting to the Team Lead, Custody Operations, the Senior Custody Operations Specialist is responsible for ensuring that daily corporate actions are properly processed, security setup and amendment requests from internal clients are promptly attended, investment trades are booked, verified, released, and settled in a timely manner, and deadlines for subscriptions, redemptions, and wire payments are met in accordance to the Service Level Agreements (SLA). The successful candidate is expected to maintain static data in the Bank's internal system and oversee all aspects of security pricing, working closely with external pricing vendors, brokers, and investment managers. In addition, they will maintain client and portfolio data within the Custody system and produce client reports on schedule.

Your responsibilities will include:

  • Managing corporate actions, security master, and pricing processes, and ensuring seamless and efficient daily operations, including timely and accurate data processing, and efficient resource planning for holidays and vacations.
  • Coordinating the set-up and maintenance of assets in the Securities Master File within the agreed timelines.
  • Setting up new securities in the internal system and gathering accurate details from ICE/Bloomberg, ensuring that security setups are validated as per the standard setup policy.
  • Processing mandatory and voluntary corporate actions accurately and timely, including dividend payments, reorganization, proxy distribution, bond redemption, etc.
  • Strictly following operations procedures to mitigate operations risk and liabilities inherent in the various functions
  • Actively monitoring and interpreting notifications of complex corporate action events in the global market, as well as accurately processing various entries in eligible client accounts.
  • Ensuring that the daily and month-end price validations have been delivered as per the standard valuation policy and deadlines.
  • Researching and responding to inquiries from internal business partners, depositories, agents, brokers, clients, Investment Managers, sub custodians, and/or custodians.
  • Leading the funds and trade settlement team, ensuring seamless and efficient daily operations, including timely and accurate trade processing, resource planning, and making adequate coverage arrangements for holidays and vacations.
  • Ensuring subscriptions, redemptions, and wire payments for BAM proprietary funds, third party mutual funds, and alternative investment funds are processed accurately and timely to meet deadlines.
  • Leading the client onboarding process for mutual and alternative funds, including client account opening, and related KYC and compliance due diligence.
  • Actively monitoring incoming email communications and ensuring that queries from both internal and external clients are answered.
  • Overseeing weekly Cash reconciliation between the Bank, fund administrator, and Custodian, ensuring accounts are in good order, and all payments due to custodian and clients have been actioned according to market and fund deadlines.
  • Receiving and dispersing critical information from custodians, such as trading restrictions and regulatory changes, to account administrators and portfolio managers on a timely basis.
  • Setting up new and closing existing Portia client accounts and portfolios in a timely and accurate manner in accordance with departmental procedures, while ensuring any duly authorized changes are reflected within the Portia system.
  • Producing and internally distributing all Portia client monthly statements and the discretionary client quarterly reports, running ad-hoc reports as required.
  • Ensuring that daily reconciliation and trade confirmations are filed properly, operations procedures are followed to mitigate risks and comply with SOX audit requirements.
  • Serving as the first point of escalation, and proactively communicating and following up with the front offices, Custodian, counterparty brokers to investigate issues with trades, corporate action, subscriptions and redemptions, and ensuring issues identified are addressed timely in accordance with time frames set out in the Bank's SLAs.
  • Holistically pursuing opportunities for process improvement/automation and ensuring all required procedures are documented, updated, and reviewed on a timely basis.
  • Assisting in SOX audits and any other ad hoc project as required.

Your qualifications and skills include:

  • Bachelor's degree in a related discipline or the equivalent combination of education and experience is required.
  • Minimum of three years of experience in a financial services industry, specializing in trade settlement, fund administration and/or corporate action processing.
  • Excellent knowledge on various investment security types a must, including but not limited to common stocks, fixed income securities, mutual funds, and alternative investment funds.
  • Strong attention to detail and analytical skills.
  • Ability to effectively work under pressure and multi task to meet deadlines a must.
  • Excellent interpersonal and communication skills a must.
  • Strong problem solving and decision-making ability.
  • Leadership skills an asset.
