THE ROLE

The Executive Assistant providesoverall administrative and project support to the President & CEO andserves as key liaison to the Board of Directors. Requires interaction with abroad range of internal and external individuals, plays a key support role inthe credit union.

  • Assist the President & CEO by providing accurate and timelyadministrative support in such areas as email and calendar management, expensereports, cheque requisitions, invoices and arrangement of travel plans. Jugglecompeting priorities as necessary and make appropriate decisions regardingavailable time. Communicate professionally and promptly with all internal andexternal stakeholders. Represent the office of the President & CEO in aprofessional manner.
  • Provide support to the Board and several Board Committees.Schedule and arrange meetings - if off-site that would include space andfacility needs, meals and refreshments, supplies and technology needs. Compileand distribute materials, attend meetings, prepare minutes and maintaincorporate documents. Maintain attendance record for board payroll and submitbi-annually for payment. Ensure meetings are conducted in accordance withrelevant governance standards. Communicate all decisions, actions, directives andimportant information following board and committee meetings to the appropriateindividuals or stakeholders.
  • Provides support for a range of initiatives in which the CEO playsa lead role. Prepare a variety of complex and confidential correspondence. UsingDocuSign have the CEO approve documents, invoices and expense reports asneeded.
  • Schedule extensive internal and external meetings for theleadership team, coordinating logistics and details, providing relevantmaterials.
  • Coordinate on boarding of new Board Members, ensure that allregulatory documentation is received, and assist with coordination of trainingwithin specified timeframes.
  • Prepare regulatory reporting to BCFSA, Provincial Government andCentral 1 as required.
  • Various other duties that occur from day to day.

QUALIFICATIONS

  • Minimum of five years in a senior executive assistant capacitywith proven ability to excel at the responsibilities of this role.
  • Prior experience providing high-level support to board, committeesor other similar working groups.
  • Highly developed interpersonal skills with the ability to workeffectively with all levels of staff and external stakeholders.
  • Ability to work under limited direction and exercise goodjudgment.
  • Advanced experience using Microsoft Office including Word, Excel,PowerPoint, Outlook, Microsoft Teams, Zoom. Familiarity of SharePoint typesoftware for Board portal.
  • Knowledge of union movement and philosophy is an asset.
  • Knowledge of the credit union system is an asset.
  • Strong organizational and time management skills
  • Highly confidential and follow up on priority mattersprofessionally and in a timely manner.
  • Strong communication skills, along with a professional demeanorand a desire to remove barriers to ensure success.
  • Ability to navigate and change directions quickly, embracingchallenges head on with confidence and a calm sense of urgency.
  • Ability to appreciate alternative views and to be flexible inadapting to changing circumstances.
  • Willingness to work flexible hours may be required.
