Status: Full-time, Appendix D

Hours: 37.5 hours per week

Salary: Payband G Min ($32.42) - Max ($37.57)

What you will do:

The Faculty Scheduler is responsible for the provision of accurate, timely, and student-centred scheduling and timetable coordination activities and academic record maintenance (i.e. scheduling/registration/curriculum) within the Longo Faculty of Business. Working with the Scheduling Coordinators from the Office of the Registrar, the incumbent is responsible for effective coordination, planning, organization, and implementation of procedures and processes to ensure the efficient operations of the Faculty's academic activities. Liaising with Academic Leadership (Senior Dean, Associate Deans and Directors), and Schedulers in other Faculties as required, the Faculty Scheduler coordinates all aspects of the assignment, utilization, and optimization of teaching, learning, and event spaces as related to academic scheduling for the Faculty.

Responsibilities include but are not limited to: gathering information related to program curriculum and the resources required to teach it, maintaining and updating the master scheduling file; assigning and managing the usage of academic space using scheduling software programs, and serving as a resource to the academic professors on matters such as course and classroom information, scheduling, and policies. The incumbent also acts as a resource to Academic Leadership on section sizes for the purpose of finding budgetary efficiencies and ensuring rules regarding relevant collective agreements are met. The incumbent provides interface and interpretation between College and Faculty policies, practices, and procedures with regards to admissions, registration, and student issues consistent with the overall objectives of the College and Faculty. The incumbent's work is high profile and time sensitive with significant risk to the Faculty and College as a whole due to the interdependence between college systems and processes as well as the accuracy of tasks.

What you bring to the role:

Education

The successful candidate will have a 3-year diploma/degree in Business Administration, Business Management, or Office Administration.

Experience & Skills

The successful candidate will have a minimum of 5-years of related experience and should demonstrate the following:

  • Sound experience working in the post-secondary education environment with strong understanding of college business processes
  • Demonstrated proficiency working with student information systems and with complex scheduling systems
  • Strong communication skills, both oral and written, with the ability to explain moderately complex processes
  • Must work well under pressure and meet strict deadlines. Ability to handle multiple tasks and projects simultaneously.
  • Must be able to make and defend decisions; possess excellent interpersonal skills for advising and conflict resolution
  • Must be able to interpret guidelines and be able to determine when decisions need to be reviewed / revised
  • Must be able to learn and adapt to new and constantly changing processes and computer applications
  • Strong analytical and problem-solving skills
  • Proficient knowledge of MS Office Suite and comparable software applications
