Helical Pile Solutions (HPS) is seeking a highly motivated and detail-oriented individual to join our team as a receptionist. This full-time position requires a dedicated professional with excellent organizational skills and a strong background in Microsoft Office applications, particularly Excel. The ideal candidate will play a crucial role in supporting the office personnel. This position is office based out of Nisku.

Responsibilities:

  • Greet and welcome visitors in a friendly and professional manner
  • Answer phone calls and direct them to the appropriate department or individual
  • Schedule meetings and update the boardroom calendar
  • Ensure the boardroom is ready and clean for each meeting – work with meeting organizer for instructions
  • Assist with administrative tasks such as filing and scanning documents
  • Manage office supplies/ Coffee supplies
  • Manage the employee phone list, and update accordingly
  • Mange the mail- incoming and outgoing (including parcels)
  • Provide excellent customer service
  • Ensure the reception area is clean, organized, and presentable
  • General housekeeping throughout the offices and kitchens – including organization, general cleaning, ensuring dishwashers are loaded and unladed each day
  • Create and maintain "Company Receptionist Manual" for easy access for coverage when on days off or holidays

Admin Responsibilities

  • Assist estimating team – download new bids, printing documents, tracking and data entry of new bids and awards
  • Assist project managers with printing of documents and creating project binders
  • Assist safety department with basic administrative duties, booking training and D and A Testing for employees

Requirements

Qualifications

  • Minimum 1-year administrative experience
  • Experience working within a construction field an asset.
  • Strong knowledge of Microsoft Office applications
  • Attention to detail and a high level of accuracy.
  • Extremely organized
  • Strong multitasking and time-management skills
  • Reliable transportation
