The Opportunity
Foundation Properties is looking for an organized, personable, and dependable Property Operations Coordinator to support the day-to-day operations of our growing residential portfolio in Fredericton and Oromocto.
This primarily office-based role is ideal for someone who enjoys working with people, solving problems, and keeping things organized. You'll be the main point of contact for our tenants, coordinate maintenance and contractors, handle administrative responsibilities, and work closely with ownership to keep our properties running smoothly.
We're a small, growing company looking for someone who takes initiative, follows through on commitments, and takes pride in getting things done. The ideal candidate doesn't simply report problems - they help find solutions and see issues through to resolution.
What You'll Do:
Tenant Relations
Serve as the main point of contact for tenants, responding to questions, addressing concerns, and maintaining positive relationships.
Document complaints and follow them through to resolution, escalating to ownership when necessary.
Keep tenants informed of maintenance schedules, repairs, and other important updates.
Maintenance & Property Operations
Coordinate maintenance requests from initial report through to completion - arranging contractors, scheduling access, tracking progress, and confirming the work is done.
Coordinate contractors and vendors for repairs, cleaning, unit turnovers, and general property upkeep.
Identify urgent issues, follow up on outstanding work, and escalate significant repairs or unexpected expenses to ownership.
Follow established approval procedures before authorizing expenditures.
Administration & Organization
Maintain accurate property and tenant records in systems, including correspondence, maintenance requests, inspections, and resolutions.
Coordinate scheduling, paperwork, and reporting support; track lease renewals, notices, and important deadlines.
Keep outstanding tasks organized and ensure follow-ups are completed without constant reminders.
Leasing & Vacancies
Monitor upcoming vacancies and lease expirations, coordinate unit turnovers, and help minimize vacancy periods.
Maintain accurate rental listings, respond to prospective tenants, and assist with applications and follow-ups.
Coordinate showings, move-ins, and move-outs, including paperwork and scheduling.
Conduct move-in, move-out, and periodic inspections as required, documenting findings and photos in Buildium.
Keep ownership informed of vacancies, leasing progress, and any issues that could delay occupancy.
Working With Ownership
Provide regular updates on tenant concerns, maintenance, vacancies, and outstanding tasks.
Identify recurring problems, suggest improvements, and bring forward practical solutions.
Work independently, make appropriate day-to-day decisions within established guidelines, and know when to seek direction or approval.
What You Bring
Experience in property management, tenant relations, office administration, customer service, or a similar role.
Excellent communication skills (both written and verbal) and a calm, professional approach to difficult conversations.
Strong organizational skills and the ability to manage multiple priorities and deadlines.
Initiative, accountability, sound judgment, and a solutions-oriented mindset.
Strong computer proficiency and excellent typing skills, with the ability to work efficiently and accurately across various software programs and digital platforms.
Comfort with email, calendars, spreadsheets, and business software.
The ability to work independently while keeping ownership informed.
A valid driver's licence and reliable vehicle for travel between Fredericton and Oromocto.
Flexibility to work occasional evenings or weekends for showings, move-ins, or inspections.
We're looking for the right person, not just someone with a particular job title. If you're dependable, personable, organized, and take pride in solving problems, we'd encourage you to apply.
Employment Condition
This role involves entering tenants' homes and handling confidential tenant and company records. The successful candidate will be required to provide a criminal record check before their start date, and any offer of employment is conditional on a satisfactory result.
What We Offer
Competitive health benefits and employer contributions to a Group RRSP.
Performance-based bonus opportunities.
Direct collaboration with ownership and the opportunity to make a meaningful impact.
A supportive, close-knit working environment.
Variety, responsibility, and opportunities to grow as our local portfolio expands.
