ABOUT ALDERWOOD:
Alderwood cares for 70 residents across Nursing Home and Residential Care. Our home is divided into six
distinct home areas; five Nursing Home (11 12 residents each) and one Residential Care (11 residents).
All residents have private rooms and bathrooms to ensure their comfort and dignity, and Alderwood
Home Areas are designed to create a genuine sense of belonging for our residents.

ABOUT THE ROLE:
The HR and Administrative Services role works closely with the Manager of Human Resources, leadership
team, and entire facility team, to ensure HR processes are organized, responsive, confidential, and
consistent with organization policies and procedures.
This role is a non-union position, as funded through the Department of Seniors and Long Term Care.
KEY RESPONSIBILITIES
Provides oversight of front-line service delivery and the daily coordination of care services and
assumes responsibility for the direction of Resident care staff.
Coordinates and provides accountabilities for all departmental activities to ensure the effective and
efficient delivery of services of the department including matters related to staffing, schedules, and
nursing care (Includes: physical hygiene, elimination, sleep, sensory abilities, mental status, psychosocial,
restraints, vitals, allergies, diagnosis, vaccines, nursing alerts, care conferences, ambulation,
mobility, foot care, skin care, oral care, nutrition risk factors, diet, nutrition, weight monitoring, pain
management, special needs, nursing assessments, medication management, resident monitoring
and assessments)
Collaboration with the Director of Care on areas of risk, inefficiency, or resident and family care
concerns.
Account for the smooth, effective and efficient operation of the department, and more particularly,
to create and support a work environment conducive to a positive staff morale and professional
staff approach in all interactions with residents, families, and team members.
REQUIREMENTS:
1.) HR Administration
Provide day-to-day administrative support for the Finance and People Services Department
Maintain accurate and confidential employee personnel files and records.
Ensure HR documentation is completed, filed, and maintained appropriately.
Prepare employment letters, correspondence, forms, and other HR documentation.
Maintain HR databases, spreadsheets, and tracking systems.
Respond to routine employee and manager inquiries and direct more complex matters to the
Manager of Human Resources.
Support department managers with disciplinary meetings, should the need arise.
In the absence of the Director of Finance, complete basic payroll upload and processing.
2.) Benefits Administration
Support HR Manager, on an as needed basis
Ensure benefit information and employee records are kept current and confidential.
3.) Recruitment and Pre-Employment Administration
Coordinate administrative aspects of the recruitment process.
Schedule interviews and communicate with candidates as required.
Conduct and document employment reference checks.
Prepare recruitment and onboarding documentation.
Assist with required pre-employment documentation and processes.
Maintain accurate recruitment records.
4.) Onboarding and Offboarding
Coordinate administrative requirements for new employees.
Prepare new-hire documentation and personnel files.
Assist managers with orientation and onboarding processes when requested
Ensure required employee documentation is completed and received.
Coordinate administrative requirements related to employee departures.
5.) Employee Records and Documentation
Maintain current employee files and confidential HR records.
Track required documentation, certifications, and employee information.
Assist with HR reporting and record reconciliation.
Ensure records are maintained in accordance with organizational policies and privacy
requirements.
6.) HR and Administrative Support
Assist with HR projects, audits, surveys, and reporting.
Support the Leadership Team with policy implementation and communication.
Assist with employee communications and distribution of HR information.
Maintain confidentiality when handling sensitive employee information.
Provide general administrative assistance to the Leadership Team, as assigned by the
Administrator
Qualifications and Experience
Post-secondary education in Human Resources, Business Administration, Office Administration,
or a related field is preferred.
Previous experience in human resources or an administrative role is required.
Experience with benefits administration and employee records is an asset.
Experience in healthcare, long-term care, or a similarly regulated environment is an asset.
Strong computer skills and proficiency with Microsoft Office or similar software.
Knowledge of HR processes and employment legislation is an asset.
