Procurement Coordinator

Full time, Permanent (Hybrid)

We're excited to announce a new opportunity for a Procurement Coordinator as we continue to grow and expand our team.

Position Scope:

The Procurement Coordinator provides day-to-day operational and administrative support for group purchasing, preferred suppliers, and procurement programs.

The position plays a key role in coordinating orders, maintaining accurate product and program information, communicating with external stakeholders and suppliers, supporting purchasing systems, and ensuring requests and issues are followed through to resolution.

Working closely with the procurement team, external stakeholders, suppliers, Finance, and other internal departments, the Coordinator helps ensure purchasing activities are processed accurately, information is kept current, and timely and responsive support is provided.

Key Responsibilities:

  • Process end-to-end purchasing, including PO creation, submission, tracking, and follow-up.
  • Provide order, shipment, and delivery updates to external stakeholders.
  • Follow up with suppliers regarding backorders, delays, discrepancies, and other order-related issues.
  • Identify and communicate alternative products when items are unavailable.
  • Respond to inquiries related to orders, products, availability, and purchasing programs.
  • Maintain accurate product listings, availability, and program information in Shopify and other procurement systems.
  • Support Finance in resolving purchase order and invoice discrepancies by confirming order details, supplier pricing, and related information with suppliers as required.
  • Prepare and distribute spend reports using available purchasing and supplier data.
  • Track requests and escalated issues, coordinate follow-up, and ensure completion.
  • Support system updates, troubleshooting, data maintenance, and other procurement administration as required.

Qualifications:

  • Diploma or certificate in business administration, office administration, or related field, or equivalent combination of education and experience.
  • Minimum three years of experience in administrative coordination, order management, purchasing support, customer service, or a related operational environment.
  • Education or experience in procurement, supply chain, or purchasing coordination would be considered an asset.
  • Strong organizational skills with the ability to manage multiple orders, requests, deadlines, and follow-up activities.
  • Strong attention to detail and commitment to maintaining accurate records and information.
  • Excellent written and verbal communication skills.
  • Strong service orientation and ability to communicate professionally with external stakeholders, suppliers, and internal teams.
  • Demonstrated problem-solving skills and ability to follow issues through resolution.
  • Comfortable working with spreadsheets, web-based systems, purchasing platforms, and other business software.
  • Comfortable working independently in a primarily remote, hybrid work environment, with strong self-management, communication, and follow-through.
  • Experience with Shopify, purchasing or order-management systems, or accounting systems would be considered an asset.
