Event Services Coordinator

At St. John's Sports & Entertainment Ltd. (SJSEL), we operate two of Newfoundland and Labrador's iconic venues: Mary Brown's Centre and the St. John's Convention Centre. Together, we host everything from concerts and sporting events to conventions, trade shows, meetings, and community celebrations.

Our Event Services Coordinators help bring that vision to life. As a member of the team, you'll work with clients and internal teams to plan, coordinate, and deliver events across both venues. You'll be responsible for the details that connect planning to execution, ensuring events are organized, operationally ready, and delivered to a high standard.

This is a one year contract position reporting to the Manager, Event Services, you'll serve as a key point of contact throughout the event lifecycle, helping transform confirmed bookings into successful experiences for clients, guests, performers, exhibitors, and more.

Key Responsibilities:

  • Serve as the primary point of accountability for event execution of the assigned events at the Mary Brown's Centre and St. John's Convention Centre, managing relationships from contract through post-event follow-up and ensuring expectations are met. Oversee end-to-end event planning and delivery across events of varying scope and scale, with accountability for integrated operational readiness.
  • Exercise judgment in a fast-paced, high-pressure environment by directing operational priorities, allocating resources, and resolving event-related issues across two facilities.
  • Act as Manager on Duty for assigned events, providing onsite operational leadership and decision-making authority for client, staffing, safety, and operational matters.
  • Lead and oversee the Event Services casual employees as it relates to the assigned event, serving as the primary point of accountability for performance, event staffing schedules, skill development, coaching, and issue resolution, in alignment with the Manager of Event Services to support consistency and effectiveness across the team.
  • Create, review, and approve Event Services staffing schedules.
  • Determine and communicate event-specific cleaning and maintenance requirements to the applicable department, ensuring operational needs are clearly defined.
  • Interpret client, promoter, and tenant requirements and convert them into comprehensive operational plans and event documentation escalating contractual or policy issues when necessary.
  • Lead cross-department communication to clarify expectations, align resources, and ensure consistent execution by internal teams and external partners.
  • Support booking and sales activity for the Mary Brown's Centre.
  • Receive confirmed bookings for the St. John's Convention Centre from the Sales team and assume responsibility for the event, including managing contract updates when changes are required.
  • Prepare event pre-settlements, initiate billing processes, track financial information, and work in conjunction with the Manager of Finance to support accurate invoicing and compliance for events at the Mary Brown's Centre.
  • Prepare and finalize client invoices for events at the St. John's Convention Centre with full accountability for accuracy.
  • Assume responsibility for reviewing and approving time & attendance for Event Services during the Manager of Event Services' absence.
  • Liaise with Technical Operations Manager to ensure the appropriate level of building access is provided related to the event. Maintain accurate and complete event records, files, and documentation across event management systems and digital and paper records.
  • In accordance with the organization's policies and procedures, identify and report safety, cleaning, and maintenance issues.
  • Preparation and communication of ticket breakdown, seating manifests, pricing structures, holds, discounts, presales, reporting, promoter updates, and on-sale logistics.
  • Serve as backup to the Coordinator Ticketing & Client Services, with responsibility for completing ticket builds, ensure the financial accuracy of fees and surcharges, and meeting critical timelines for event announcements and on-sales.
  • Participates in strategic planning processes as it relates to Event Services.

Qualifications:

Education:

  • Bachelor's degree in Business Administration, Hospitality Management, Marketing, or a related field.

Specific Skills/Certifications:

  • Strong strategic thinking and planning skills, with the ability to translate high-level direction into actionable plans, measurable outcomes, and cross-departmental initiatives.
  • Proven ability to plan and execute large scale, complex, multi faceted events effectively with a strong attention to detail.
  • Skilled in all processes of the ticketing module and other accredited software approved by SJSEL.
  • Excellent computer skills including Microsoft Office, with a proficiency in using Microsoft Excel.
  • Effectively use SJSEL's booking and event management software, and other management tools, and be willing and able to learn various software programs related to providing ticketing and technology-based event services as required to implement events.
  • Ability to lead, and direct staff.
  • Ability to deal with a variety of situations in a tactful and professional manner.
  • Superior interpersonal and communication (verbal and written) skills, with a collaborative approach to working across departments and with external stakeholders.
  • Ability to take initiative and make informed decisions while maintaining professionalism in a fast-paced, dynamic environment.

Relevant Experience:

  • Minimum of three (3) years event services management experience with knowledge of hospitality industry practices.
  • Experience in large upscale event planning.
