General Manager

Portland Custom Millwork Ltd.

Position Summary

Portland Custom Millwork is seeking an experienced General Manager to oversee the day-to-day operations of its custom millwork projects. The General Manager will coordinate projects from estimating through production, installation, and completion, ensuring work is properly planned, accurately priced, completed on schedule, and delivered to a high standard.

Key Responsibilities

Estimating and Project Planning

  • Review drawings, specifications, site conditions, and customer requirements.
  • Prepare accurate estimates for materials, labour, subcontractors, and installation.
  • Develop project scopes, budgets, timelines, and production requirements.
  • Identify potential design, pricing, scheduling, or installation issues before work begins.
  • Coordinate changes to project scope and prepare change-order pricing.

Project Management

  • Manage multiple millwork projects from award through final completion.
  • Coordinate with customers, contractors, designers, architects, suppliers, and installers.
  • Monitor project costs, progress, deadlines, and quality.
  • Ensure drawings, approvals, measurements, materials, and site conditions are ready before production or installation.
  • Resolve project issues promptly and keep customers informed.
  • Review completed work and ensure deficiencies are addressed.

Scheduling and Production

  • Develop and maintain the overall production and installation schedule.
  • Prioritize projects based on customer deadlines, available labour, material lead times, and shop capacity.
  • Assign work and provide clear direction to shop and installation employees.
  • Hold regular scheduling meetings and communicate changes to the team.
  • Monitor workflow and adjust schedules when delays or conflicts arise.

Purchasing and Materials

  • Determine material and hardware requirements for each project.
  • Order materials accurately and on time.
  • Monitor supplier pricing, availability, and lead times.
  • Confirm materials are received, inspected, and allocated to the correct projects.
  • Minimize waste, rush orders, and excess inventory.

Operations and Leadership

  • Oversee the daily activities of the shop and installation teams.
  • Set clear expectations for productivity, workmanship, safety, and professionalism.
  • Support, coach, and hold employees accountable for performance.
  • Help recruit, train, and retain skilled employees.
  • Maintain organized and efficient shop and project-management processes.
  • Promote a positive, respectful, and solutions-focused work environment.

Financial and Business Management

  • Monitor estimated versus actual labour and material costs.
  • Identify and address project overruns.
  • Support project billing by confirming progress, completed work, and approved changes.
  • Review project profitability and recommend operational improvements.
  • Provide regular updates to the Owner on schedules, project risks, staffing, cash-flow requirements, and overall performance.
  • Help develop pricing standards, operational procedures, and growth plans.

Qualifications

  • Experience managing custom millwork, cabinetry, construction, or a related manufacturing operation.
  • Strong estimating and project-management experience.
  • Ability to read architectural drawings, shop drawings, and specifications.
  • Knowledge of millwork materials, hardware, manufacturing, finishing, and installation.
  • Strong organizational and scheduling skills.
  • Ability to manage several projects and competing deadlines.
  • Strong leadership, communication, and problem-solving skills.
  • Comfortable working with estimating, scheduling, and accounting software.
  • Valid driver's licence.

  • Production and installations are completed on schedule.
  • Labour and material overruns are minimized.
  • Customers receive consistent communication and quality workmanship.
