We are currently looking for an Executive Assistant to join our Executive Office team in a Full-Time position

As an Executive Assistant you will play a key role in helping leadership operate effectively by providing seamless administrative and operational support across a dynamic organization.

In this role, you will be at the center of important business activities, coordinating priorities, managing complex schedules, facilitating communication, and supporting key initiatives that contribute to organizational success. Your ability to anticipate needs, solve problems proactively, and deliver exceptional support will help leaders stay focused on strategic objectives while ensuring day-to-day operations run smoothly.


Key elements of this role include:
  • Managing complex executive calendars, balancing priorities, scheduling meetings, and ensuring effective coordination of events and activities.
  • Coordinating meetings and events from planning through execution, including logistics, communications, and preparation of supporting materials.
  • Arranging and managing executive travel, creating detailed itineraries and ensuring a seamless travel experience.
  • Preparing, reviewing, and maintaining high-quality correspondence, presentations, reports, and meeting materials with exceptional attention to detail.
  • Supporting administrative operations, including expense reporting, invoice processing, document management, and records retention activities.
  • Providing coordination and administrative support for projects and business initiatives, helping track timelines, deliverables, and follow-up actions.
  • Building strong relationships with internal and external stakeholders while facilitating clear, professional communication on behalf of senior leadership.
  • Handling sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Identifying opportunities to improve administrative processes and contribute to greater operational efficiency.
  • Anticipating needs, proactively address challenges, and help ensure priorities remain aligned across day-to-day activities and commitments

To thrive in this role, you recognize yourself in most of the following competencies and skills listed below:

  • Minimum of 5 years of administrative or executive support experience, preferably supporting senior leaders in a complex business environment.
  • College diploma in Office Administration, Business, or a related field, or an equivalent combination of education, training, and experience.
  • Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as collaboration tools such as Teams, OneDrive, and SharePoint.
  • Strong organizational and time-management skills with the ability to manage multiple priorities, changing deadlines, and competing demands.
  • Excellent written and verbal communication skills, paired with a high level of professionalism and attention to detail.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and work independently with minimal direction.
  • Strong relationship-building and collaboration skills, with the ability to work effectively across all levels of an organization.
  • A proactive, resourceful, and adaptable approach, with a talent for anticipating needs and identifying practical solutions.
  • Experience with enterprise systems such as Oracle or PeopleSoft is considered an asset.
