Role Overview

The PAL Aerospace Programs Department is searching for an experienced Project Coordinator to join our team based in St. John's, NL. This is a crucial role in ensuring the smooth execution of our aircraft modification programs. The Project Coordinator will report to the Program Manager and support the program administrative functions. Due to the wide geographic dispersion of PAL's operations and the large nature of company programs, communication and organization are two core competencies that will help facilitate success in the Project Coordinator role.

Duties and Responsibilities:

  • Developing and maintaining relationships with key stakeholders
  • Planning, scheduling and managing tasks for upcoming and existing projects.
  • Assisting with project reporting to senior management, external stakeholders, and clients.
  • Ensuring success of projects through the timely coordination of project events and communications.
  • Assisting in monitoring and reporting status of projects and progress against major milestones and assist with preventative/corrective action to ensure timely delivery.
  • Providing the necessary project oversight to ensure all deliverables are well coordinated and completed within the assigned target dates.
  • Managing and maintaining project management archived data and reports.
  • Effectively communicate analysis, including recommendations to Management, as necessary.
  • Producing data to support project coordination.
  • Acting as a resource for the technical aspects of projects and activities, as requested.
  • Coordinate and attend project review meetings.
  • Develop meeting minutes and capture action items for follow-up.
  • Evaluating business processes ,anticipating requirements, uncovering areas for improvement, and proposing solutions.
  • Monitoring deliverables and ensuring timely completion of projects.
  • Provide project administrative support such as meeting minutes, action items and tracking, as required.
  • Other duties as assigned.

Qualifications:

  • Diploma or degree in Business Administration, Project Management, or a related field. An equivalent combination of education and experience may be considered.
  • Minimum of 3-5 years of experience supporting and coordinating projects.
  • Direct work experience in project management.
  • Experience coordinating multiple projects simultaneously, including tracking schedules, deliverables, risks, and project documentation.
  • Project management certification and/or PMP certification are considered an asset.
  • Experience working with internal and external stakeholders of diverse backgrounds.
  • Working knowledge of project management methodologies, frameworks, and best practices, with experience supporting project delivery from initiation through implementation.
  • High level proficiency with Microsoft Office Suite, Visio, Power BI, and SharePoint.
  • Strong communication skills, with the ability to prepare reports, presentations, meeting materials, and correspondence for diverse audiences.
  • Proven ability to identify project issues, analyze information, and contribute to effective solutions and continuous improvement initiatives.
  • Demonstrated ability to build and maintain productive working relationships and foster collaboration among project teams and stakeholders.
  • Strong organizational and time management skills, with the ability to adapt to changing priorities and meet competing deadlines in a fast-paced environment.
  • Ability to work independently with minimal supervision while contributing effectively as a member of cross-functional project teams.

Security Responsibilities:

Incumbent must be able to obtain the required level of Government of Canada Personnel Security Clearance.
