Jump Recruitment, on behalf of our client, Independent Dockside Grading Inc. (IDG), is seeking to fill an Office Coordinator position to join them in St. John's, NL.

Job Summary

Independent Dockside Grading Inc. is an innovative seafood inspection company that has proudly served Newfoundland and Labrador for over 23 years. With a workforce of approximately 100 employees supported by a dedicated office team, they are seeking a motivated and organized Office Coordinator to join the organization. The Office Coordinator will play a key role in overseeing daily administrative and accounting functions, supporting employees, and contributing to ongoing digital transformation initiatives. The successful candidate will work closely with management, external service providers, and office staff to ensure efficient and accurate business operations.

Key Responsibilities

  • Manage accounts payable and accounts receivable.
  • Process and reconcile banking transactions.
  • Liaise with and support the external accountant.
  • Prepare financial, operational, and management reports.
  • Perform costing and data analysis.
  • Develop and maintain spreadsheets and databases using Excel, Access, Simply Accounting, and related software.
  • Prepare report summaries and business correspondence.
  • Participate in Occupational Health and Safety Committee meetings and liaise with Workplace NL regarding claims.
  • Assist with digitalization and process improvement initiatives.
  • Oversee data entry related to invoicing and payroll activities and process invoicing and payroll.
  • Provide information, communication, and administrative support to employees.
  • Answer and direct incoming telephone calls.
  • Manage accounts payable, accounts receivable, payroll and general account administration for Twilight Inspections, a subsidiary company serving the offshore sector.

Qualifications

  • Minimum of 5 years of experience in a business or office environment.
  • Strong knowledge of accounting and office administration practices.
  • Advanced proficiency in Microsoft Excel, Microsoft Access, Simply Accounting, and other relevant software applications.
  • Accounting degree, diploma, or a combination of equivalent education and relevant experience.

Job Details

  • Training provided. Comprehensive transition and training period, working alongside the current Office Administrator for approximately four weeks.
