Prevention Program Assistant

The Prevention Program Assistant is an administrative role supporting the unit responsible for oversight of provincially mandated health and safety certification training courses. The unit develops, reviews and approves training curriculums; approves training providers and trainers; and performs quality assurance activities to support consistent program delivery. They also provide administrative support for the provinces occupational health and safety committees.

The incumbent serves as the front-line point of contact for employers, workers, training provides and trainers. They will support trainer assessments, respond to inquires, maintain records, and assist the team with day-to-day administrative tasks. The incumbent is expected to demonstrate strong attention to detail, reliability and consistent follow through. The role is suited to someone with an interest in occupational health and safety, or adult education, as they will be immersed in training topics and related administrative procedures.

Role Responsibilities

  • Monitors and responds to phone calls, email inquiries and shared program inboxes directing matters to the appropriate staff
  • Assist with processing training provider and trainer applications
  • Schedules trainer assessments, including coordinating invitations, confirming attendance, and managing cancellations and waitlists
  • Prepares and distributes course materials, letters, reports and other program correspondence
  • Provider technical support for users of WorkplaceNL's certification training registry and connect systems
  • Coordinates meetings, record and distributes minutes
  • Ensuring accurate information management by maintaining electronic records and program documentation
  • Backup the other prevention program assistant within the department

Essential Skills and Qualifications

  • Graduation from a two-year (2) program in Administrative Management, Information/Record Management or other related post-secondary program
  • Two years of relevant experience.
  • Knowledge of occupational health and safety issues and programs would be considered an asset.
  • Working knowledge of all Microsoft Office applications.
  • Experience with SharePoint, ShareFile, connect, articulate 360, mail chimp, imaging, connect or the certification training registry would be considered an asset.
  • The successful candidate must demonstrate excellent organization skills, strong interpersonal skills and be able to communicate effectively with internal staff and the public, both orally and in writing.
  • Demonstrated commitment to clients and service
