Position Summary

Reporting to the Events Manager, the Event Specialist supports the planning, coordination, and execution of Chamber events from concept to completion. This role is ideal for someone who thrives in a fast-paced, collaborative environment, enjoys managing details, and takes pride in creating exceptional experiences for Chamber members and guests. You will work with all departments within the Chamber, including marketing and communications, sponsorship, membership, and policy to deliver high-quality events that align with the Chamber's mission and brand. The Chamber work environment is open and collaborative, however this role requires a self-starter that can manage their time wisely and juggle multiple priorities.

Employment Type: Fixed-term contract (Early September 2026- Mid-June 2027)

Key Responsibilities

Event Planning and Execution

  • Lead the coordination of assigned Chamber events such as luncheons, galas, conferences, and networking sessions.
  • Manage all event logistics including venue booking, contracts, catering, décor, AV, registration, and onsite coordination.
  • Maintain event critical paths, agenda, budgets, website event page, checklists, and timelines.
  • Work with suppliers/vendors, sponsors, and venues to ensure seamless event delivery.
  • Maintain open, effective professional relationships with speakers, sponsors, venues, partners, suppliers/vendors and audio-visual services.
  • When needed lead hybrid and virtual event execution using tools such as Zoom, Microsoft Teams, etc.

Sponsorship and Revenue Support

  • Collaborate with the sponsorship team to develop event sponsorship packages and deliver benefits.
  • Support the development and execution of event budgets, tracking expenses and ensuring profitability.
  • Receive, review, record and submit quotes and invoices from all suppliers/vendors.

Marketing and Communications

  • Coordinate event promotion with the marketing and communications team including website listings, e-newsletters, social media, and Business Voice magazine.
  • Work with the marketing and communications team to prepare event materials such as programs, signage, slides, and name badges etc.
  • Ensure brand consistency across all event touchpoints.
  • Review speaking notes created by the marketing and communications for hosts and speaking representatives.

Team Collaboration

  • Work closely with all Chamber departments to integrate events with membership engagement and advocacy goals.
  • Provide mentorship and guidance to volunteers and co-op students as needed.
  • Participate in brainstorming sessions for new event ideas, formats, and experiences.

Administration

  • Maintain event documentation in accordance with internal processes.
  • Support registration management, invoicing, and post-event reconciliation.
  • Maintain budgets for each event, assist with event revenue, coordination of attendance, invoicing, along with updating and ensuring the Annual Event Budget stays on track.
  • Prepare event debrief/wrap-up meetings, reports and evaluations.

Training Programs

  • Coordinate workshops and professional development opportunities supported through funding from the Department of Labour, Skills and Immigration (LSI).
  • Responsibilities include planning, logistics, registration management, and workshop day-of execution, with duties similar to those required for Chamber events and additional program-specific responsibilities as needed.
  • Experience using LaMPSS considered an asset.

Qualifications and Experience

  • Post-secondary education in Event Management, Business, Marketing, Communications, or a related field.
  • Minimum two years of experience in event coordination, preferably in a corporate or non-profit environment.
  • Proficiency with Microsoft Office Suite (Excel, Teams, Planner, SharePoint, etc.), event management and registration platforms and CRMs (e.g. Glue Up, Zoom, or similar).
  • Excellent communication, time management, and problem-solving skills.
  • Ability to lead a team during the execution of events on-site at venues.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
  • Flexibility to work occasional early mornings, evenings, and weekends for events.
  • This position requires regular travel. The successful candidate must hold a valid driver's licence and have access to reliable transportation.
