General purpose

The live-in Resident Manager oversees the daily operations at The Terrastone, a modern 73-unit residential building in Dartmouth, NS. This live-in position is ideally suited for a team able to fulfill the responsibilities of the position and possess the skills outlined below. The successful candidate(s) will be supported by and report to the Senior Manager of Investment Properties. The Resident Manager is expected to exercise sound judgment, work independently, proactively identify operational issues, and ensure the property operates safely, efficiently and in accordance with company policies & procedures.

Responsabilités

Tenant Relations & Customer Service

Deliver an excellent resident experience, including the following:

  • Act as the primary on-site contact for residents, responding to inquiries and concerns and maintenance requests professionally.
  • Enforce building policies, lease provisions and company procedures while fostering a positive living environment for all residents.
  • Show vacant units to prospective residents and support leasing activities.
  • Conduct move-in/move-out inspections and complete all related documentation.
  • Handle resident complaints, lease violations, notices and resident communications.
  • Promote resident retention by building positive relationships and resolving concerns professionally.

Property Maintenance & Upkeep

  • Responsible for cleanliness, safety, and overall appearance of the building, including common areas, grounds, waste management, and compost areas.
  • Perform minor repairs and maintenance tasks, such as plumbing, painting, and general fixes.
  • Coordinate and supervise external tradespeople for larger maintenance projects.
  • Obtain quotes for repairs and services and provide recommendations to the Senior Manager, Investment Properties.
  • Verify contractor work upon completion, report deficiencies, and ensure work areas are left clean and safe.
  • Conduct daily inspections to ensure the property is well-maintained and address any issues proactively.
  • Prepare vacant units for new residents.
  • Perform seasonal duties such as snow removal/salting and minor landscaping.
  • Assist in implementing and tracking preventative maintenance programs for building systems & equipment.

Administrative & Live-in Responsibilities

  • Manage rent administration, monitor rental accounts, reviewing Yardi reports, following up on outstanding balances, and managing any payment discrepancies.
  • Coordinate, track, and document maintenance requests, ensuring work orders are completed and accurately maintained in Yardi.
  • Participate in an on-call rotation. This is a live-in position requiring flexibility to respond to emergencies and operational needs, including evenings, weekends, and holidays.
  • Planned absences are coordinated with the Senior Manager, Investment Properties, to ensure adequate building coverage.
  • Organize and host resident events to foster community engagement.
  • Maintain accurate resident records and building documentation, including leases, inspections, insurance certificates, incidents, and other required documentation.
  • Tracking and management of keys, fob access, parking, and storage designations.
  • Provide regular operational updates to the Senior Manager, Investment Properties and promptly communicate emergencies, safety concerns, or significant operational issues.
  • Prepare and maintain documentation required for Residential Tenancies matters and attend hearings as required.

Health & Safety

  • Conduct and document routine health and safety checks (e.g., common areas, fire exits, lighting, trip hazards).
  • Report on safety concerns promptly to the Senior Manager, Investment Properties.
Qualifications

Knowledge & experience

  • Minimum of two years of relevant experience, preferably in property management or maintenance.
  • Proficient in Microsoft Office suite.
  • Basic knowledge of plumbing, electrical, and general repairs.
  • Experience using work order property management software is an asset.
  • Ability to diagnose and troubleshoot mechanical systems.
  • Knowledge of Yardi Breeze Premiere software is an asset.
  • Working knowledge of the Nova Scotia Residential Tenancies Act is an asset.

  • Ability to lift 20 lbs. to 40 lbs. frequently, bend, push and pull as well as go up and down stairs.
