We are hiring a Procurement Coordinator
Position summary:
The Halifax Port Authority is seeking a Procurement Coordinator who supports the procurement department and contracting operations by managing routine purchasing activities, maintaining documentation, and ensuring compliance to join our team. Reporting to the Procurement Manager, this role assists in contract administration and works closely with senior procurement staff.
What you'll do:
- Process purchase requisitions, purchase orders, and low value procurement and contracting activities in a timely manner
- Assist in preparing and managing contracts and procurement documentation
- Maintain procurement records and contract documentation
- Coordinate with vendors and internal departments to ensure timelines are adhered to
- Track contract milestones, expirations, and renewals
- Support compliance with procurement and contracting policies
- Track procurement activities and generate reports for review
- Resolve routine issues related to invoicing, delivery, or product quality
- Escalate complex procurement issues to senior procurement staff
- Participate in procurement process improvement initiatives
- Act as an information management super user and coordinate procurement and contracting activities within ERP / procurement portal
- Communicates with consultants, contractors, customers, suppliers, and members of the public
- Provides internal staff updates from time to time on behalf of the Procurement department
- Collaborate with the team to share ideas, exchange and report information, and develop solutions to problems
- Maintains HPA contract repository
- Complies with and upholds HPA's Procurement policy and procedures. Demonstrates a commitment to ethical and transparent procurement practices that provide suppliers with fair access to HPA contracts
What you'll bring:
- Diploma or degree in Business Administration, Supply Chain, or related field
- 2-3 years of experience in procurement and contracting support
- Strong organizational, project coordinator and communication skills
- Proficiency in all applications of Microsoft Office
- Knowledge of procurement systems and contract administration
- Attention to detail with the ability to multi-task
- Basic knowledge of procurement regulations within construction and/or contracting experience would be considered an asset
- Critical thinking, decision-making, problem solving and analytical skills
- Ability and knowledge to both advise on and perform responsible duties with speed and accuracy
- Effective interpersonal skills with the ability to communicate professionally with internal and external stakeholders
- Capability and readiness to work under pressure, either imposed by deadlines for document preparation or emergency situations and must be flexible as this position is responsible for all source to contract activities for the department
