The Role

The Program Coordinator supports the delivery, coordination, and administration of Cancer Support. Reporting to the Manager, Cancer Support this position assists with daily program operations, participant engagement, special events, and facility coordination. The Program Coordinator plays a key role in ensuring smooth program delivery and fostering a welcoming environment for participants, visitors, and community partners.

Duties and Responsibilities

  • Program Coordination
  • Assist with the implementation of local programs and services in alignment with policies, procedures, and vision.
  • Coordinate program schedules, bookings, and room/facility use.
  • Maintain participant and program records, including registration, attendance, and feedback data.
  • Support program evaluation by collecting and compiling participant surveys and feedback.
  • Assist with creation and distribution of program materials (print, web, and social media).
  • Provide front-line participant support, responding to inquiries in person, by phone, and by email, and directing to appropriate resources as needed.
  • Help prepare and maintain program spaces to ensure they are safe, clean, and welcoming.

Event & Outreach Support

  • Assist with planning and execution of quarterly Power Days, educational sessions, and special events.
  • Provide logistical support for outreach activities and networking opportunities with community partners.
  • Support fundraising and promotional events through preparation, volunteer coordination, and on-site assistance.

Administrative Support

  • Track participation statistics, compile monthly summaries, and submit to the Manager, Cancer Support.
  • Prepare and maintain basic operational documents such as attendance sheets, inventory lists, and meeting notes.
  • Maintain supply inventory for orders to be placed by the Manager, Cancer Support.
  • Maintain food inventory while ensuring food quality, create shopping lists, and grocery shop as required by the Manager, Cancer Support.
  • Coordinate scheduling and communication with program volunteers.

Communication & Relationship Building

  • Act as a welcoming first point of contact for program participants and visitors.
  • Maintain positive relationships with healthcare providers, community organizations, and other partners.
  • Assist with social media and website updates related to program activities.

Qualifications

Education

  • Post-secondary education in a related field (healthcare, social services, community development) or equivalent experience.

Experience

  • 1-3 years' experience in program coordination, community services, or event planning.
  • Experience working in a health, nonprofit, or community-based environment an asset.
  • Proficiency with Microsoft Office Suite; familiarity with social media platforms.

  • Strong interpersonal, communication, and customer service skills.
  • Excellent organizational skills with attention to detail.
  • Active listening skills and the ability to respond with empathy and compassion.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to work independently and as part of a team.
  • Flexibility to work occasional evenings and weekends for program or events.
  • Physical capacity to assist with event set-up and light facility tasks.
  • Commitment to confidentiality and sensitivity when working with individuals affected by cancer.

Working Conditions

  • Combination of office work, on-site program support, and occasional off-site events.
  • Occasional requirement to work outside regular business hours, with time in lieu provided.
  • Some travel within the region may be required.
