The Opportunity
We are currently seeking an Administrative Assistant III to join our Voisey's Bay Leadership Team supporting our remote mine site in Voisey's Bay, Labrador, a fly-in fly-out operation.
This is a permanent position, working out of the St. John's Office on a Monday to Friday schedule, with frequent trave to the Voisey's Bay Mine Site.
As an Administrative Assistant III, your experience and skills will allow you to schedule and organize meetings, workplace events, and site visits/tours, book travel (domestic & international), understand visa requirements, schedule vacations, and other duties such as, filing, typing, mail/file distribution, and invoice management, all while liaising and maintaining contact with the head office and other business locations.
Additionally, in this position you will:
- Frequently communicate with senior-level internal and external contacts, being regularly exposed to confidential data.
- Receive and screen telephone calls, letters, and/or visitors, answering routine questions and obtaining and providing information.
- Draft for approval, organize and maintain the Executive's correspondence and records following up on pending matters with limited direction.
- Prepare complex reports, and assists with gathering, summarizing, and analyzing data.
- Organize and prepare complex documents requiring the integration of multiple office technology and software applications. May act as an office resource for word processing and spreadsheet application.
- Process invoices for payment into the SAP system and maintains invoice filing system. Ensure prompt payment to suppliers with agreed upon timelines. Investigate and resolve any issues arising.
- Work independently with only general guidance on a variety of special projects.
- Assist in the budget process by consolidating information and monitoring spend throughout the year.
- Assist the broader administrative assistant team with payroll entry, and other operational tasks as required.
About You
Education:
- A minimum of a post-secondary degree or diploma in administrative or business studies is required.
Experience:
- A minimum of 5 years administrative experience in a similar role is required.
Skills:
- Ability to work collaboratively within a team environment across multiple locations.
- Proven understanding of the importance of maintaining a high level of confidentiality.
- Self-motivation and ability to work with minimal direction.
- Outstanding digital literacy in the Microsoft Office (Outlook, Word, Excel, and PowerPoint) is required.
- Exceptional organizational and time management skills.
- Knowledge of SAP is considered an asset.
