About the NSRHPN
The Nova Scotia Regulated Health Professions Network (the Network) enables collaboration among 20 health profession regulators in Nova Scotia. Established under the Regulated Health Professions Network Act, the Network promotes best practices in health profession regulation and supports cooperation in registration, licensing, complaints, discipline, and other regulatory matters.
Position Summary
The Coordinator oversees the operational and administrative functions of the Network. Reporting to the Executive Committee, this role supports the Council's strategic priorities, facilitates meetings and communications, manages contracts and financial reporting, and ensures compliance with all regulatory, contractual, and grant obligations.
The Coordinator may also be responsible for supervising staff, managing direct reports, and conducting performance evaluations as the Network evolves. This is a full-time position (1.0 FTE, 37.5 hours per week).
The Coordinator must reside in Nova Scotia and be within approximately one hour's travel of Halifax to ensure timely attendance at in-person meetings.
Key Responsibilities
Office Administration
· Establish and maintain secure, efficient administrative systems, ensuring confidentiality of all documents, data, and resources.
· Ensure timely and accurate content updates on the NSRHPN website.
Governance & Strategic Support
· Facilitate the development and implementation of Network policies in accordance with the Regulated Health Professions Network Act, Regulations, and By-laws.
· Support the Executive Committee in setting and monitoring annual priorities.
· Serve as the primary resource to the Council, Executive Committee, and Network committees or working groups.
Project Coordination
· Support the planning, implementation, and monitoring of collaborative projects and initiatives among regulators.
· Track timelines, deliverables, and outcomes to ensure progress aligns with agreed objectives.
· Assist in preparing project updates, reports, and briefing materials.
Financial Management
· Prepare draft annual budgets with supporting recommendations to address established priorities.
· Support the preparation of monthly and year-end financial statements (including annual audit) and ensure the Network receives regular financial updates.
· Provide timely financial reports to the Executive Committee.
Staff Supervision & Leadership
· Supervise part-time administrative staff and other direct reports, as applicable, to ensure alignment with Network priorities.
· Assign responsibilities, provide mentorship, and complete staff reviews.
· Foster a collaborative, high-performing team environment.
Meetings & Communications
· Coordinate and support Council and committee meetings, including preparing agendas, background materials, and meeting summaries.
· Organize the Network's Annual Meeting and develop the Annual Report.
· Provide strategic and ongoing communication support to the Council and Executive Committee.
· Develop media responses and act as spokesperson for the Network as required.
Research & Planning
· Conduct literature reviews and jurisdictional scans to support Network priorities.
· Prepare draft reports, briefing notes, and other documentation as required.
Contract and Grant Oversight
· Manage service provider agreements (e.g., insurers, auditors, consultants, legal counsel).
· Monitor grant timelines and deliverables and prepare all required reports.
· Fulfill the deliverables set out in agreements with the Nova Scotia Department of Health and Wellness, including those related to financial sustainability planning.
Additional Duties
Undertake any other duties as assigned by the Executive Committee in accordance with the Employment Agreement.
Qualifications:
Education
· Post-secondary education in a relevant field such as public administration, health policy, business administration, project management, or a related discipline.
· Additional training or certifications in project management, governance, financial administration, or human resources are considered assets.
· A combination of education and significant relevant experience will also be considered.
Experience
· Minimum of 2-4 years of experience in a coordination or project management role, preferably in a regulatory, health, or non-profit environment.
· Experience engaging with diverse stakeholders and managing multi-party initiatives.
· Experience supervising staff, managing direct reports, or overseeing contractors (asset).
Skills
· Strong organizational skills and ability to manage multiple priorities simultaneously.
· Working knowledge of financial reports and budgeting processes, and familiarity with accounting software (e.g., QuickBooks, Sage, or equivalent).
· Excellent written and verbal communication skills, including facilitation of group discussions to achieve consensus decisions.
· Proficiency in Microsoft Office Suite and virtual collaboration tools (e.g., Zoom, Teams, SharePoint).
· Demonstrated ability to work independently and collaboratively within a team environment.
· Knowledge of health professional regulation in Canada (asset).
Terms:
Position Type: Full-time (37.5 hours per week)
Term: Ongoing, subject to probationary period and the terms and conditions of a signed employment agreement.
Compensation: $72,000 to $77,000 base salary, which is inclusive of two (2) weeks of paid vacation, paid sick days, and paid bereavement time. All entitlements are subject to the terms and conditions of a signed employment agreement.
Medical/dental benefits and RRSP contributions are also provided.
