Job Title: Secretary
Location: Oromocto, NB
Shifts: Monday to Friday, 8:00am-5:00pm
Wage: $22 .00-$2 5 .00/hour
The Secretary will assist in managing procurement processes, ensuring compliance with regulations, and providing administrative support for purchasing activities. This role is vital in ensuring timely acquisition of goods, services, and equipment to meet operational needs, all while maintaining budgetary constraints and adherence to DoD procurement policies.
Key Responsibilities
- Support procurement: prepare and issue purchase orders, contracts, bids, and tender documents
- Conduct market research, identify suppliers, evaluate quotes, and negotiate terms.
- Monitor and track orders; coordinate delivery timelines and resolve discrepancies with vendors
- Maintain procurement documentation-contracts, PO logs, invoices, expenditure reports-and ensure compliance
- Assist with audits: prepare procurement files for reviews, including compliance with FAR or DFARS when applicable
- Support budgeting and report generation; collaborate internally on procurement planning
- Provide general administrative support to the team
Qualifications
- Degree in Business, Supply Chain Management, or related field preferred
- Experience in procurement or purchasing, ideally governmental or defense sector
- Strong analytical, organizational, and multitasking skills
- Proficiency in Microsoft Office and procurement/ERP software
- Excellent communication and negotiation abilities; discrete and detail oriented .
- Knowledge of FAR/DFARS is an advantage
