Reporting to the General Manager, the Scheduler is responsible for the creation, management, and review of all operational schedules, including but not limited to Street Operations, Mobile Integrated Health, Fleet, Air Ambulance, and the Communication Centre. They balance the availability and resources against incoming requests to ensure all tasks are completed on time and adjust schedules as necessary to accommodate changes in priorities or deadlines. This position is critical in ensuring precise and effective scheduling to ensure MHSW - Moose Jaw and MHSW - Saskatoon can meet the obligations of our contracts for service. The Scheduler will be responsible for ensuring an exact capture of all unionized employee hours worked to support Payroll in providing accurate pay for all employees.

Key Responsibilities;
- Develop, monitor, and maintain numerous schedules.
- Maintain, apply and/or modify as appropriate scheduling documentation/policy.
- Perform daily audits of the roster for accuracy of staffing, hours, work codes etc. and makes corrections as needed.
- Coordinate the staffing of short notice leaves, vacations, sick calls, and special events, as per the scheduling guidelines.
- Enter long term leaves and coordinate with Management when job posting is required.
- Track absenteeism and sick time for front line staff for the Company, as directed through HR/Management.
- Manage yearly vacation schedule calendars.
- Onboarding of new employees in relation to scheduling software.
- Participate in regular status meetings and communicate with operations teams all scheduling changes in an effective manner.
- Ensure training on scheduling system is provided when needed.
- Provide general support to all users of Saskatoon scheduling systems.
- Provide support and work collaboratively with other schedulers in MHSW.
- Monitor progress against daily, weekly, and monthly schedules and actively try to resolve scheduling conflicts.
- Run and manage scheduling audits.
- Work collaboratively with managers on scheduling issues.
- Maintain an understanding of the Medavie scheduling software.
- Bi-weekly Payroll Process, which includes the successful merge of employee hours to Workday. Involves data clarification.
- Monitor payroll accrual reports to determine time off approval.
- Adjust scheduling software based on payroll adjustments to align for audit purposes.
- Submitting payroll information, as required.
Education
- Grade 12
- One-year business college course
Experience
- Two years' scheduling experience
- Two years' scheduling software experience
- Extensive knowledge of UKG Telestaff Scheduling Software
- Two years' administrative experience
- Extensive knowledge of the policies, structure and functions of internal administrative systems and practices applicable to private industry. Require superior diplomacy and interpersonal skills in dealing with difficult situations.
- Proficiency in Microsoft office including Word, Excel, Access, PowerPoint, and Outlook, etc.
- Prior experience working with databases and knowledge of medical terminology is an asset.

- Must maintain very close attention to detail.
- Superior diplomacy in professionalism and confidentiality required.
- Excellent communication and interpersonal skills
- Self-starter that can work independently, but also be a strong team player.
- Highly organized with strong time management skills and proven ability to prioritize.
- Some independent judgment and initiative required in the follow-up for special assignments, programs and issues if requested.
- Maintains corporate confidentiality in accordance with all Provincial, Federal, or corporate regulations or policy.
- Ability to solve problems, meet deadlines and effectively manage multiple tasks.
- Demonstrate excellent organizational and time management skills to adequately prioritize workload to. Ability to work well under pressure, often under strict time deadlines.
- Demonstrate self-direction, good judgment, and decision-making skills to prioritize incoming work, composing correspondence, and dealing with other employees and the public.
- Demonstrate effective listening skills and the ability to follow instructions.
- Knowledge of online scheduling software.
- Knowledge of payroll procedures and familiarity with the Saskatchewan Labour Standards.
