THE OPPORTUNITY

We have an immediate opening for an experienced Administrative Assistant. Supporting the Plant Manager and Human Resources Manager, this role is ideal for a detail-oriented and proactive individual who thrives on team work.

WHAT YOU WILL DO

  • request management: handle team members' requests promptly, prioritize tasks, and redirect as needed (e.g., travel support, troubleshooting, access management);
  • personnel administration: manage personnel records and tasks;
  • access management: oversee computer and network access for new and departing team members;
  • meeting coordination: organize recurring and ad-hoc meetings, manage logistics, send invitations, and prepare agendas;
  • archiving: apply archiving rules, manage legal documents in relation to policy, and educate the team on confidentiality and retention;
  • event planning: employee events/celebrations, contact vendors, catering (menu/budgets), coordinate schedule and volunteers, and set-up/tear-down of events;
  • community donations: receives requests for donations and evaluate against company criteria, request/issue payment;
  • order processing: manage purchase orders and requests, validate invoices, and monitor the budget for external purchases;
  • communication: distribute information within deadlines via email or bulletin board updates, and maintain working knowledge of policies and standards
  • reception: welcome visitors and callers, provide appropriate responses, and redirect as needed.

WHAT YOU WILL BRING

  • formal training in administration, business, or equivalent experience;
  • 3+ years of progressive experience supporting managers, preferably senior managers;
  • demonstrated organizational skills, successful relationship building and ability to work with a high degree of professionalism and confidentiality.
