The Opportunity

We are currently seeking a Fixed Term Plant Administrator to join our Copper Cliff Mine Complex Team in Sudbury, ON. This is a 18 month-fixed term position position covered under the Collective Agreement between Vale and the Local 2020-05 United Steelworkers.

As a Plant Administrator you will provide integrated administrative support such as data entry, records management, report generation, scheduling, etc. to the plant and mines in the Ontario Operations.

This role may require the incumbent to occasionally enter into operating areas of the plants and mines in order to provide support and shift work (including weekends) due to our 24/7 operations.

Additionally, in this position you will:

  • Office Administration: Provide office administration and IT support, including setup/decommissioning and ZES lock box forms.
  • Communication Management: Maintain plant bulletin boards, intranet content, and distribute printed communications.
  • Employee Support: Manage employee work clothing change requests and coordinate travel arrangements/expense reports.
  • Meeting & Action Tracking: Record and distribute meeting minutes (e.g., OHSE/JHSC) and maintain action registries.
  • HR Processes: Administer job postings, transfers, and process improvement initiatives for administrative efficiency.
  • Payroll & Timekeeping: Handle time, absence, incentives, payroll tasks, vacation canvass preparation, and overtime records ensuring compliance with CBA, payroll deadlines and company policies.
  • Systems & Reporting: Support SAP IM tasks, VES reporting, and monthly safety plan compliance tracking.
  • Safety & Compliance: Organize and maintain employee safety documentation, inspections, and audits.

About You

Education:

  • The successful candidate will possess a College Diploma in Business, Office Administration, or in a related field such as Payroll, Accounting, or Human Resources.

Experience:

  • Minimum of 6-18 months of similar administration support experience, ideally in an industrial environment. Must possess customer service experience.

Skills:

  • Comprehensive knowledge and experience using various internal Vale systems such as PeopleSoft, SAP Incident Management, SAP Travel, Vale Educational System (VES), SharePoint, Business Objects, Operational Reporting Portal (ORP), OD Travel Expense Vale Support Centre, and Safety Plan Tracker is required. Must possess strong keyboarding skills and advanced software skills in Microsoft Office (Excel, Word, PowerPoint, Outlook, Access and Visio).
  • Time and absence adherence to Vale's governing policies and CBA articles; data entry of time, attendance and mines incentives, regular reporting, review and analyze employee pay for accuracy, strict adherence to deadlines, ability to maintain confidentiality, troubleshooting skills.
  • Utilize system parameters to generate reports and analyze data.
  • Keyboarding, software and system proficiency.
