OFFICE OF THE REGISTRAR (Saint John)

The Office of the Registrar provides administrative and coordination services in support of the UNB learning community. Services that we provide to students, faculty and staff include admission, academic advising (Saint John), timetabling and course set up, academic room assignment, final examinations, coordination of graduations, regulation and policy advice, as well as reporting and information requests.

Standard Work Hours: Mon - Fri | 8:00 am - 4:00 pm | 36.25 hours per week (Summer Hours)

Salary Range: $22.75 - $28.42 per hour

YOUR FOCUS

Reporting to the Registrar (Saint John), the Curriculum Systems Coordinator supports academic units and students by maintaining curriculum in the student information system in a highly deadline driven environment.

  • Update course records in the student information system (SIS), including academic units, dates, course titles, descriptions, format options, prerequisites, and statuses as approved by Senate.
  • Create and assign equate codes based on curriculum changes or as directed by academic units.
  • Activate and track courses offered on registrar's or dean's warrant; coordinate with academic units on calendar inclusion and catalogue year of record.
  • Review course curriculum updates against existing records for consideration by the Registrar and Senate committees.
  • Advise academic units on available course numbers, numbering procedures, approved curriculum codes, and course history.
  • Maintain the Senate Curriculum SharePoint site and related records; orient new committee members on its use and timelines.
  • Build and update annual MyProgress degree audits; liaise with academic staff, advisors, and transfer coordinators to ensure usability.
  • Assemble elective assessments by degree and program for newly introduced courses.
  • Serve as Recording Secretary to the Senate Curriculum Committee by preparing minutes, managing documents, and coordinating agendas and timelines.
  • Coordinate with the Senate Office to manage curriculum documents and calendar updates.
  • Support new program development and approvals by coordinating documentation and timelines with relevant units.
  • Perform quarterly system testing and maintenance on curriculum-related platforms or as needed.
  • Support major curriculum-related projects including timetabling, academic advising events, calendar reviews, and communications.
  • Maintain knowledge of SIS and integrated platforms; collaborate with units managing curriculum-linked systems.
  • Contribute to Registrar's Office projects such as orientation, registration, and graduation; provide support across Registrar functions as needed.
  • Follow institutional and provincial privacy regulations and uphold confidentiality in all processes.
  • Build and maintain effective working relationships with UNB departments.
  • Perform other duties as assigned.

WHAT YOU BRING

  • Bachelor degree in a related field.
  • 1 year of experience in a university setting.
  • 2 years of customer service experience.
  • An equivalent combination of education and experience may be considered.

Additional Strengths

  • Experience in a records-related environment would be considered a strong asset.
  • Experience in an Ellucian environments would be an asset.
  • Proven adaptability and flexibility.
  • Proficient with Word Suite, O365 and databases.
  • Excellent, reading, writing and comprehension skills.
  • Confidentiality and professionalism are essential qualities.
