Meridia Recruitment is proud to Partner with O'Keefe & Sullivan in search of a Director of Corporate Services to be based in St. John's, NL. The Director is a dynamic and strategic leader who will elevate the firm's internal operations. This pivotal role will be responsible for overseeing financial management and bookkeeping, people and culture, office operations, and systems optimization across all three locations. Reporting directly to the firm's owners, the Director will play a key role in shaping the infrastructure that supports this thriving legal practice.
Key responsibilities of the role include:
- Lead all accounting and bookkeeping functions, including trust account management, reconciliations, accounts payable, and financial reporting using QuickBooks.
- Serve as the central point of contact for staff needs and concerns, ensuring smooth communication and resolution while relieving the owners of operational burdens.
- Direct the day-to-day operations of the firm's offices, including vendor management, supply procurement, and facilities oversight.
- Ensure smooth coordination across the St. John's, Halifax, and Corner Brook offices (minimal travel required).
- Champion a positive and productive workplace culture by overseeing HR functions such as staff scheduling, vacation planning, performance management, and employee relations.
- Enhance administrative systems and workflows to support efficiency and scalability across multiple locations.
- Develop and maintain internal policies and procedures to ensure compliance with legal, financial, and operational standards.
- Collaborate with ownership on budgeting, forecasting, and financial planning to support strategic decision-making.
- Monitor and report on key performance indicators (KPIs) related to operations, staffing, and financial health.
- Coordinate onboarding and offboarding processes for new and departing employees, ensuring a smooth and professional experience.
- Support technology and systems integration across offices, identifying opportunities for automation and efficiency improvements.
- Assist with internal communications and change management initiatives as the firm continues to scale.
Ideal Candidate Qualifications:
Bachelor's degree in business, Commerce, or a related field.
- CPA designation, an asset.
- Proven experience in financial administration, bookkeeping, or operations.
- Knowledge or understanding of trust accounting and client disbursement processes an asset but not required.
- Experience within a professional services or legal environment or client services centered environment considered a plus.
- Demonstrated leadership in managing business operations and teams.
- Highly organized, systems-oriented, and comfortable working in a fast-paced, multi-office environment.
- Excellent interpersonal and communication skills with a proactive, solutions-focused mindset.
- Professional communicator. Able to work across the organization seamlessly and engage teams.
- Capable and experience to provide sound strategic insight and advice to leadership team on operational and tactical matters to support stability and development of growth orientated firm.
- A natural leader with strong organizational skills, a systems-oriented mindset, and the ability to manage multiple priorities across locations.
