Position Summary:
The Building & Associate Services Coordinator is responsible for providing day-to-day operational support to the Store Support Centre and Annexe, including handling facility-related issues, associate relocations, and coordinating service providers. This role also extends support to the Innovation Center, select Distribution Centers, and various District Offices across the GTA. The Coordinator ensures smooth execution of facilities management tasks and contributes to space planning and maintenance initiatives.
Key Responsibilities:
- Monitor internal email requests and respond to facility-related issues in a timely manner.
- Dispatch appropriate service providers such as plumbers, electricians, roofers, and pest control services.
- Coordinate scheduling of maintenance and service vendors (e.g., carpet cleaners, electricians, general contractors).
- Manage and schedule regular maintenance activities (daily, weekly, monthly, quarterly, annually).
- Streamline and improve processes for handling associate facility requests.
- Support space allocation planning for new hires and manage relocations for existing associates.
- Remain on-call for after-hours facility emergencies, such as security alarm issues.
- Travel to multiple sites across the GTA as required—must have access to a personal vehicle.
Required Experience & Qualifications:
- 3–5 years of experience in facilities management, construction, or a related field.
- Completion of a college diploma or bachelor's degree in a relevant field, or equivalent combination of education and experience.
- Proficient in Microsoft Word and intermediate-level Excel.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills with the ability to interact professionally across all levels of the organization.
- Strong analytical and follow-up skills; detail-oriented.
- Solid understanding of facilities management practices, lease administration, and relevant policies and standards.
- Familiarity with Ontario Building Code, related legislation, and facilities maintenance best practices.
- Basic knowledge of HVAC, plumbing, and electrical systems.
- Ability to manage and execute multiple large-scale accommodation and leasing projects.
- Proficient in preparing professional documentation, including business cases, procurement documents, and progress reports.
- Experience with various software systems including spreadsheets, project management tools, and databases.
- Ability to develop innovative solutions to urgent or sensitive facility requests, including those involving confidential or covert requirements.
- Strong time management skills, able to prioritize and meet deadlines while managing competing priorities.
- Demonstrates discretion and professionalism when handling sensitive or confidential information.
- Effective problem-solving skills and a proactive approach to issue resolution
