The primary purpose of this position is to perform routine filing and general clerical duties involved in the operation and control of the Health Records Department. The successful applicant will work under the supervision of the Team Leader of Health Information Management and report to the Manager of Health Information Management.Qualifications:
? Graduation from High School or equivalent;
? Successful completion of a one year Office Administration Program;
? Successful completion of an approved Medical Terminology course or willingness to obtain in a time frame to be determined by the employer;
? Ability to work cooperatively in a team environment;
? Ability to handle the physical demands of moving chart volumes and filing;
? Knowledge of the Meditech and Electronic Medical Records (EMR) systems would be an asset;
? The successful applicant will be required to submit a satisfactory certificate of conduct.
Duties and Responsibilities: (Include but not limited to):
? Rotation of charts to and from OPD as required;
? Familiarization of filings systems necessary to maintain and control prompt retrieval and accessibility of medical records;
? Files loose filing on the corresponding client records following an established order of arrangement;
? Scans all required documents in client’s EMR file;
? Responds to Medical Staff inquiries to locate client-related information and reports;
? Assists clients and staff when presenting to the main file room seeking information or making an inquiry;
? Daily navigates Meditech and EMR as required, in addition to operating the photocopier and FAX machines;
? Supplying records on request for unbooked OPD visits, other departments involved in patient care, as well as structured audits, research or other authorized uses;
? Daily control of miscellaneous filing of reports received regarding diagnostic tests done on patients in OPD clinics as well as inpatients recently discharged;
? Release of information over the telephone and sometimes by fax to community clinics, health centers, hospitals, other doctors’ offices, etc.;
? Performs all other duties as required.
