What you will be doing…
As the Administrative Assistant for the Office of the Dean in the School of Trades & Transportation, you'll be working within a busy team where you will be the go-to person who tracks priorities and keeps everything running smoothly. Based on site in the scenic coastal community of Digby, you'll play a key role in supporting the Dean, School of Trades & Transportation. In this position, you will
Support the Dean in the delivery of province-wide Academic programming
- Track contract/agreement timelines and deliverables
- Monitor budgets and highlight budget variances
- Prepare reports, both written and financial, with attention to detail
- Download, extract and manipulate data
- Prepare emails for distribution
- Prepare presentations
- Maintain filing systems
- Oversee expense claims, travel bookings, and invoices;
- Manage the Dean's calendar and help mitigate conflicts;
- Provide confidential administrative support on various matters;
- Take and distribute meeting minutes, coordinate materials, and make meeting arrangements;
You are versatile, flexible and experienced in providing support through administrative activities. This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within scope of authority. The incumbent is an integral contact person providing quality service to clients of the School, specifically, and the College as a whole.
Qualifications and Occupational Experience:
- The minimum educational qualification for this position is a post-secondary credential in business or office administration. High school completion with significant years of administrative experience will also be considered.
- You have a minimum of 3 years (full-time equivalent) of recent and related occupational experience in general office administration and/or Administrative Assistant experience. Experience in a post-secondary environment would be considered an asset.
- You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, including Outlook, Excel, SharePoint, Powerpoint, and MS Teams. Experience with PeopleSoft or similar information management system would be considered an asset.
- Experience with PowerBI would be considered an asset.
- Experience with financial systems would be considered an asset.
