Term: Contractual (Renewable Based on Funding)

About the Employer

Mawiw Council Inc. is one of approximately 80 tribal councils in Canada. It is a non-profit corporation governed by a Board of Directors comprised of Chiefs of partnering First Nations: Elsipogtog, Neqotkuk, and Esgenoôpetitj. As a tribal council, Mawiw is mandated to provide capacity building services to its three partnering First Nations. Our organization receives core funding from Indigenous Services Canada (ISC) and project-based funding from a number of federal, provincial and other sources.

Core Competencies

Reporting to the Health Director, the IELCC Administrative Assistant will provide administrative support to ensure efficient operation while working collaboratively with the IELCC Coordinator through a variety of tasks related to organization and communication; Be responsible for confidential and time sensitive material; Effectively communicate via phone, email and in person in a professional, sensitive, and non-judgmental way; and must ensure duties are completed accurately and delivered with high quality and in a timely manner.

Requirements

• Excellent organizational skills and the ability to multitask.

• The ability to accompany and assist the IELCC Coordinator at local, regional and occasionally out-of-province meetings as needed.

• Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel.

• Strong attention to detail and the ability to work in a fast-paced environment.

• Good communication and teamwork skills.

Duties and Responsibilities

• Handle sensitive information in a confidential manner.

• Accompany the IELCC Coordinator to key meetings and assist with logistics and meeting minutes taking as required.

• Answer and direct phone calls, provide information and take messages as needed.

• Answer and provide information for internal and external requests.

• Reply to email and telephone inquiries on behalf of the IELCC Coordinator when necessary.

• Update the internal calendar for the IELCC Coordinator as needed.

• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

• Develop and maintain an effective filing system.

• Photocopy and print out documents on behalf of the IELCC staff, as needed.

• Maintain adequate office supplies & replenish as needed with the approval of the IELCC Coordinator.

• Produce and distribute IELCC correspondence through various methods (print, email, social media, website, etc.).

• Draft letters and emails on behalf of the IELCC Coordinator, as requested.

• Participate actively in the coordination/planning of IELCC events hosted by Mawiw.

• Assist in the preparation of regularly scheduled reports and other reports as requested by IELCC Coordinator.

• Book meetings, conferences and travel arrangements as needed.

• Work closely with Mawiw communities and the Mawiw Finance Team for IELCC related inquiries.

• Provide administrative support for the IELCC Dadavan System.

• Train in developing administrative systems to make them more efficient.

• Resolve administrative problems.

The following skills and capacities are sought-after assets in a successful candidate:

• Strong English written, reading, and speaking proficiency.

• Prior experience in administrative management, including records management, taking notes, preparing meeting agendas and other meeting logistics.

• Certification or college training in office management or a related field.

• Prior experience working with First Nations.
