Halifax Water is currently hiring for the job of two (2) Administrative Assistant I's. These regular opportunities are in the Engineering & Capital Infrastructure Department and in the Environment, Health & Safety Department and both have full time hours.
What the Engineering & Capital Infrastructure Department does:
- Responsible for asset management and capital planning, infrastructure planning, capital project delivery, strategic projects, and energy efficiency and business development. The department dvelops and implements short- and long-term capital strategic plans, ensuring regulatory compliance and fostering process improvement.
- Responsiblfor planning, management and delivery of water, wastewater, and stormwater infrastructure projects ensuring alignment with Halifax Water's long-term plans.
What the Environment, Health & Safety Department does:
- Ensures Halifax Water complies with regulations set forth by Nova Scotia Environment and Climate Change, the Department of Fisheries and Oceans, Environment and Climate Change Canada and The Nova Scotia Department of Labour and Advanced Education.
- Ensures our customers comply with our Rules and Regulations
- Responsible for drinking water quality, watershed management, safety and security, emergency management and risk management.
As an Administrative Assistant I, you will:
- Provide comprehensive support to the respective Director and Department by understanding the responsibilities, priorities, relationships and schedule of the Director and their teams.
- Have success in the role through proactive communication, organizational skills, relationship building, attention to detail and adaptability to changing priorities.
- Review Director and Departmental deadlines, gather necessary background information for meetings and deliverables and ensure adequate preparation and review time.
- Coordinate and track key Department initiatives such as data management systems, key performance indicators (KPI), forecasting, business planning, expenses and budgeting.
To do this job, you need to have:
- A related Business Diploma from a recognized educational institute (a combination of equivalent education and related experience may be considered).
- Five years of related experience.
- Senior administrative support experience and demonstrated proficiency.
- Demonstrated knowledge and proficiency with Microsoft Office 365 applications (including Word, Excel, PowerPoint, Outlook, Project, Teams, Planner, and Copilot).
- Enterprise Resource Planning (ERP) knowledge.
- Organizational skills and the ability to efficiency manage schedules, meetings, and documentation to ensure effective operations.
- A high degree of professionalism and confidentiality in handling sensitive information.
