Responsabilités

Acadia's Department of Human Resources is looking for a highly skilled and motivated payroll professional to be our Monthly Payroll Administrator. Under the direction of the Payroll Manager, you will be responsible for ensuring accurate and timely posting and payment of monthly payroll functions while maintaining compliance with established payroll practices, university policies, the Acadia University Faculty Association (AUFA) Collective Agreement, applicable laws, and regulatory requirements. Your attention to detail and understanding of Canadian payroll regulations are essential.

You will work with the entire HR Team, Provost and Vice-President's Office, Dean's Offices, Academic Departments, the AUFA Union, and faculty and staff on a regular basis; therefore, this role requires strong communication, interpersonal skills, and the ability to develop relationships. You will communicate information clearly and concisely to both internal and external partners, always ensuring confidentiality.

The Monthly Payroll Administrator is also responsible for advertising per course faculty assignments, tracking candidates for all part-time faculty postings, and maintaining the part-time faculty Precedence List. There is a high volume of per-course competitions requiring attention to detail and strong organizational skills.

Specific responsibilities of this role are:

  • Process monthly payroll (for faculty) including data entry, calculations, and deductions.
  • Verify and reconcile paperwork, benefits, and other payroll-related data to ensure accuracy.
  • Address employee inquiries and provide exceptional customer service.
  • Prepare and distribute employee pay statements, tax forms, records of employment and other payroll-related documents in a timely manner.
  • Stay up to date with changes in payroll legislation and make necessary adjustments to ensure compliance.
  • Year-end and T4/T4A production.
  • Liaise with financial institutions, CRA, Service Canada, and other external agencies as required.
  • Conduct regular audits and reconcile payroll records to maintain data integrity.
  • Generate reports and provide payroll-related information to management as required.
  • Regularly test software updates prior to installation.
  • Complete and post part-time per course assignments. Track applications received and respond to candidate questions. Following the AUFA Procedures for Appointment provide the hiring department with the necessary applicant information.
  • Stewardship of the part-time faculty precedence list.
  • Participate in New Faculty Orientations covering need to know payroll information.
Qualifications

Education: A Bachelor's Degree in Human Resources, Business Administration, Accounting, Finance, Commerce, or a related field is required. Equivalent post-secondary education combined with substantial payroll experience may also be considered.

Experience: 10 years plus of progressive payroll experience in a large, fast-paced environment.

Achievements: Demonstrated success and a proven track record in the payroll sector.

Knowledge: Extensive understanding of Canadian federal tax regulations, provincial/federal programs (including CPP and EI), and provincial employment standards.

Certification: Payroll Compliance Professional (PCP) designation from the National Payroll Institute is mandatory.

Technical Proficiency:

  • Experience working with large HRIS/Payroll software is required.
  • Familiarity with Colleague by Ellucian and Informer by Entrinsik (Business Analytics Software) is an asset. Experience with Power BI is a plus.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook).

Additional Experience: Prior experience in a unionized environment is beneficial.
