DUTIES
The successful applicant will perform advanced secretarial duties which require initiative, independent judgement, and confidentiality in support of the Head and the Department. Duties include replying to in person, telephone, or email enquiries; maintaining department filing system; maintaining key inventory, office supplies, and equipment; scheduling meetings and appointments; making travel arrangements if requested; taking department minutes; liaising with the undergraduate and graduate program Directors and Head, regarding Calendar Changes; receiving and distributing mail; updating the departmental website using Terminal 4; providing support to Promotion and Tenure and Search committees; coordinating textbook orders; keying purchase orders and journal vouchers; entering leave and time for human resources; entering grades; accessing information using Student Banner and Banner Finance; coordinating exam schedules, re-reads, and deferred exams; corresponding with Administrative Departments across campus; assisting faculty, undergraduate and graduate students; assisting the Graduate Officer by maintaining all paperwork for the graduate program, and maintaining graduate student files; assisting in the review of student transcripts and preparing information for scholarships, medals, the Dean's List, and honours applications; scheduling the use of the department seminar room; and performing other related duties as required.
QUALIFICATIONS
Experience (3-5 years) in progressively responsible secretarial work; completion of a 2 year secretarial program; or any equivalent combination of experience and training. Strong organizational, written, and oral communication skills are required. Knowledge of the University Policies and Procedures, Microsoft Word and Banner Student is required. Experience with Terminal 4 (T4), Microsoft Office and Banner Finance would be considered assets.
SALARY $49,308 - $57,841 per annum (Non-Bargaining)
