Salary Band : $21.00/hour

In this role, you will :

Responsibility 1. Business Support for BC & Yukon

  • Oversees and ensures smooth operation of the reception area and functions at the shared Kelowna office, including all aspects of the volunteer management cycle to support the team of volunteers to help manage shared offices.
  • Responds to general enquiries about our shared offices throughout BCY; provides information and directs the incoming calls to appropriate service department/program or other agencies.
  • Supports logistic needs for BC personnel. This may include coordinating building access and orientation to office machines and supplies or providing information.
  • Ensures smooth operation and acts as first point of contact regarding shared equipment and spaces, supplies, and related administrative processes. This includes but is not exclusive to: shared fleet vehicles, virtual printer technology, postage and copying, general office supply ordering needs, key and alarm codes in coordination with Facilities, and oversight of the kitchen and photocopy room supplies.
  • Accepts donations to the CRC in person, and issues general non-tax receipts.
  • Completes records management functions ensuring year-end and file storage or destructions processes are in line with society guidelines.
  • Supports "all staff" meetings and training with a focus on Kelowna office.
  • Provides coverage for colleagues as needed, including for Coordinator, Finance Admin, Emergency Management Administrative Support and Provincial Disaster Coordination Team Admin role, and others as relevant.
  • Provides administrative support as needed to emergency operations including purchase requisitions and orders and updating and reviewing finance trackers.

Responsibility 2. Volunteer Management

  • Identifies areas for volunteer involvement and builds team of volunteers to support day to day work and response related activities.
  • Develops training materials and delivers training to equip volunteers for success.
  • Builds and delivers volunteer engagement and recognition activities to retain the volunteers.

What we are looking for :

  • The minimum qualifications for this job are completion or currently enrolled in a Community College diploma in Administration, emergency management, finance or a relevant sector.
  • 2-3 years of related experience, or an equivalent combination of education and experience.
  • Proficiency in the Microsoft Office suite. Above average Excel skills are required.
  • Detail-oriented, with the ability to prioritize and multi-task.
  • Ability to work independently and to take initiative, and also work well as part of a team.
  • Comfortable with developing processes and practices.
  • Ability to think creatively within defined policies.
  • Valid driver's license is an asset.

Working conditions :

  • Work will occur at the office, Monday to Friday between 8:30 - 4:30 exclusive of a 1-hour lunch (7 hours in total). Extended hours may be required during disaster response.
