The office of the President and Vice Chancellor at Mount Saint Vincent University invites applications for the permanent position of Administrative Assistant, Governance Secretary and General Counsel. This is a new role to the University, and has been posted previously but not yet filled.

About the Opportunity

Reporting directly to the Governance Secretary and General Counsel, the Administrative Assistant will provide strategic and senior level administrative expertise to a senior leader within the Office of the President and Vice-Chancellor, with a strong client service orientation to supporting the work of the Board of Governors. This role supports all activities of the Governance Secretary and General Counsel as well as the Board of Governors in relation to effective governance of the University. They are responsible for the efficient and effective flow of confidential information to support business and strategic decision making as well as administrative support with regard to legal matters.

This position will be tasked with a variety of administrative responsibilities including preparing general and confidential documents & correspondence, coordinating Board of Governor and committee meetings, communicating with internal and external constituency groups, assisting with planning events, and preparing/submitting expense claims. Further, this position will be responsible for: coordinating travel arrangements; managing confidential electronic & paper filing systems and case files; preparing and maintaining records such as reports, minutes, and meeting files; documenting process; maintaining policy & procedure documents; and various other duties & projects as assigned.

About You

The successful candidate will have a university degree in Business/Public Administration along with a minimum of three years' related experience. Legal or Paralegal Program is considered an asset. An equivalent combination of education and experience may also be considered. The successful candidate will have demonstrated understanding of providing confidential administrative support to senior leaders.

Candidates will be skilled at time management, and adept at documenting processes. Demonstration of effective facilitation, negotiation, analytical and problem-solving skills is a must as are excellent interpersonal skills. The ability to communicate effectively with senior administration and members of the Board of Governors will be a daily and critical requirement.

Candidates will also have demonstrated ability to work independently as well as in a team. Previous experience working in a university environment is an asset. Candidates should be proficient in the use of Microsoft Office Suite (Excel, Word, PowerPoint), and have an aptitude for, or previous experience, using business enterprise systems such as Colleague, Banner, PeopleSoft, etc.

Classification: Permanent; Full-Time (35 hours/week)
Salary: MPA 3 ($56,141 - $68,304)
