What Are We Looking For?

Position Overview

The Manager, Volunteer Resources, under the direction of the Director, Philanthropy and Campaigns, will primarily be responsible for the provision of Inn from the Cold (The Inn)'s volunteer management program. The Manager will recruit, provide: orientation, coordination, development, evaluation and recognition to our team of service volunteers. There is a responsibility to respond to the mission and vision of the Inn from the Cold within multiple sites and address the specific needs of various teams within the agency. The Manager will lead the Coordinator of Volunteer Resources within their respective program as they provide support to individual and group volunteers. The Manager will develop partnerships through collaborative efforts and maintain current knowledge of available resources within the larger community, as well as maintain an up- to-date knowledge base of current volunteer management practices and theory.

What You'll Do

  • Identify current and prospective operating requirements: prepare and post notices and advertisements, and collect and screen applications for both staffing and volunteers
  • Oversee personnel management, promotions, and disciplinary actions in compliance with company policies
  • Oversee the orientation/onboarding of new hires and the training of Volunteer Resources employees and volunteers
  • Develop training programs that are based on regulatory requirements and best practices
  • Approve vacation requests and monitor vacation schedules to ensure appropriate coverage
  • Determine areas of improvement for employees, providing additional training as needed. Determine staffing requirements and oversee the hiring of staff
  • Develop strategic performance metrics and targets that are consistent with company goals
  • Ensure employees have clear goals and are aware of expectations
  • Ensure that all employees and volunteers comply with company policies, procedures, and ethical standards
  • Ensure that employees and volunteers adhere to all health and safety regulations
  • Evaluate employee performance and provide feedback, coaching, and formal evaluations
  • Handle employee and volunteer complaints and incidents, including conflict resolution, accidents, health and safety concerns, work refusals, and investigations
  • Participate in onsite and workplace inspections
  • Develop employee and volunteer training, ensuring that all applicable compliance requirements are met
  • Ongoing monitoring and evaluation of volunteer program
  • Provide leadership and coaching to employees and volunteers on key workplace matters such as performance management, difficult conversations, employee relations, and employee development
  • Monitor assigned payroll activities and/or program components for the purpose of ensuring effective department functioning, coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements
  • Participate in organizational activities including employee engagement activities, team meetings, town halls and team building
  • Participate in development opportunities
  • Recruitment, screening, selection, training, scheduling, motivation, and evaluation of volunteers
  • Designing and conducting training and orientation programs for volunteers
  • Develop and execute a volunteer recruitment and retention strategy
  • Update database, volunteer position job descriptions, and volunteer manual as required

What You Bring to Our Mission

  • Bachelor's degree in management, social sciences, communications, or industry-related field (equivalent experience will be considered)
  • Minimum 3-5 years of full-time experience in volunteer coordination
  • Certificate in Volunteer Management is an asset
  • Excellent written and verbal skills and comprehension
  • Excellent time management skills
  • Highly organized

  • Adhere at all times to The Inn's Policies, Procedures and Code of Conduct
  • Proven ability to develop and implement training and development courses
  • Strong knowledge of health and safety legislation specific to our industry
  • Strong conflict resolution skills
  • Experience with coaching and employee development
  • Proven experience preparing and conducting post-implementation evaluations
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills
  • Able to work independently
  • Complete all required training as assigned such as: Indigenous Awareness, Brain Story, conflict de-escalation, harm reduction, etc.
