We are currently recruiting for a talented Executive Assistant to join our team! The Executive Assistant will be an integral part of the Family Office team, providing administrative and clerical support to senior leaders to ensure the smooth operation of the organization and enhance their productivity.

Your primary responsibilities will include:

  • Schedule and manage appointments, meetings, and events.
  • Plan and coordinate travel arrangements, including itineraries and expense reports.
  • Act as a liaison between the senior leaders and internal/external stakeholders.
  • Manage communication, including emails, phone calls, and other correspondence.
  • Prepare and edit documents, reports, and presentations.
  • Coordinate and schedule meetings, prepare agendas, and take meeting minutes.
  • Ensure meeting rooms are set up and necessary materials are available.
  • Conduct research and compile information for reports or presentations.
  • Manage databases and information systems.
  • Provide general administrative support, including photocopying and mailing.
  • Build and maintain positive relationships with colleagues, clients, and partners.
  • Track and reconcile expenses, ensuring accuracy and compliance with policies.
  • Other duties as assigned

A successful candidate will have:

  • Bachelor's degree or equivalent work experience.
  • 2-4 years experience as an executive assistant or in a similar role.
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in office software, including Microsoft Office Suite.
  • Attention to detail and the ability to multitask.
  • Discretion and the ability to handle confidential information.
  • Adaptability and the ability to work well under pressure.
  • Professionalism and a customer-service-oriented mindset.

Location: Vancouver, BC

Salary range: $60,000 - $85,000 per annum.
