Salary: $25.00 - $30.00 per hour

The Fleet & Warehouse Coordinator will oversee and organize all material supplies, project-specific field and technical equipment, and vehicle fleet and UTV resources. They will responsibly maintain a safe and organized warehouse and coordinate all maintenance and inventory functions for all equipment related to field safety and project field logistics. They will schedule and facilitate all fleet and UTV maintenance and repairs, as well as support Project Leads in coordination and tracking of project-specific fleet and equipment resources and availability.

Key Job Functions & Responsibilities

Key functions/responsibilities include but are not limited to the following:

  1. Fleet & UTV Coordination
    • General oversight of all fleet and UTV vehicles to ensure vehicles are equipped, maintained in clean and working order for project readiness.
    • Coordinate with Project Leads and Managers for vehicles and UTV resourcing and any required technical and safety equipment prior to deployment.
    • Ensure vehicles, trailers, and UTVs are prepped and ready for training programs.
    • Ensure all vehicle maintenance programs are proactively managed on time with warranty and maintenance records kept up to date.
    • Oversee all vehicle emergency and technical equipment supply and organization as well as management and review of vehicle tracking devices and data.
    • Assist with general transport and scheduling of vehicles, trailers and UTV for maintenance schedules and project needs as required.
  1. Equipment Supply and Logistics
    • Oversee supply, inventory, and maintenance of technical and safety equipment, including coordination of equipment installation, charging and storage as needed.
    • Coordinates with field personnel and leads on technical and survey equipment supply, including but not limited to GPS, field testing, radio and communications, and gas monitor supply, calibration, and testing.
    • Maintaining, labelling, and updating equipment inventory tracking systems, sign-out and software (i.e.- cheqroom).
    • Assist with preparation and transportation of project-specific equipment or material supplies in conjunction with field teams and schedules.
    • Coordinates all lock-out/tag-out tasks related to damaged or missing equipment including coordination of repairs, replacements, or diagnostic services as needed.
    • Ensuring all equipment and supplies are available and ready for biosecurity protocols.
    • In conjunction with Safety personnel, ensure all WHMIS documentation and protocols are met and maintained (i.e.- MSDS).
  1. Warehouse Management
    • Develop warehouse organizational plans and protocols including safety, storage, and security.
    • Regularly inspect physical condition of warehouse for efficient and safe storage solutions.
    • Monitoring inventory levels of products or materials in warehouses to ensure adequate supplies are available.
    • Work with supervisors on purchase or delivery of materials and equipment for project execution.
    • Communication with finance department for transactional charges of corporate accounts, as well as full record-keeping for all equipment purchases and warranties.
    • Plan or implement warehouse improvements to internal or external systems for storage and organizational solutions.

  • Vehicles are maintained in good working order, and maintenance schedules are followed to ensure fleet resourcing is reliable and consistent.
  • Warehouse is well-organized with efficient use of space and kept in safe working condition.
  • Facilities and equipment are inspected regularly to ensure condition and function.
  • Timely response to requests for equipment or supply corresponding to project field.
  • Bottlenecks/inefficiencies/quality issues are identified, analyzed, and remedied in collaboration with senior management team and safety personnel.
  • Assigned tasks and deliverables are independently completed to the satisfaction of the Manager and/or Director, client, and other relevant entities.
  • Effective relationships are maintained internally and externally in accordance with company core values.
  • Communications to supervisor and co-workers by telephone, e-mail, or in person are efficient and effective.

Job Requirements

Requirements for the role of Fleet and Warehouse Coordinator are provided below:

  • 3-5 years of work-related skill, knowledge, and experience considered an asset.
  • Minimum Grade 12 graduate.
  • Demonstrated problem solving and communication skills.
  • Previous truck and trailer experience considered asset.
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Valid Class 5 Drivers Licence and clean Drivers Abstract.
