Job Title: Executive Assistant to the CEO

Job Overview: We are seeking an experienced and proactive Executive Assistant to provide high-level administrative support to our CEO. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. This role requires exceptional communication skills, impeccable time management, and the ability to anticipate the needs of the CEO. The Executive Assistant will play a critical role in ensuring the CEO's schedule runs smoothly, deadlines are met, and the CEO is adequately prepared for meetings and engagements.

Responsibilities:

  1. Calendar Management: Maintain and manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
  2. Meeting Preparation: Prepare briefing materials, agendas, and presentations for meetings, ensuring the CEO is well-prepared and informed.
  3. Deadline Management: Monitor and track deadlines for projects, reports, and deliverables, ensuring the CEO stays on schedule.
  4. Communication Liaison: Act as a primary point of contact for internal and external stakeholders, screening calls and emails, and responding on behalf of the CEO when necessary.
  5. Document Management: Organize and maintain confidential company documents, files, and records, ensuring easy access and retrieval.
  6. Travel Coordination: Arrange travel logistics, accommodations, and itineraries for the CEO, optimizing efficiency and comfort.
  7. Task Delegation: Delegate tasks to appropriate staff members and follow up to ensure timely completion, holding team members accountable for meeting deadlines.
  8. Priority Management: Assess and prioritize the CEO's workload, proactively identifying areas where support is needed to optimize productivity.
  9. Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  10. Problem Solving: Anticipate potential issues and obstacles, and proactively address them to keep operations running smoothly.
  11. Personal Assistance: Provide personal assistance to the CEO as needed, including managing personal appointments, errands, and household tasks.

Qualifications:

  • Proven experience as an executive assistant or similar role supporting C-level executives.
  • Strong calendar management experience is required (Google Calendar & Calendly Management).
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong communication skills, both written and verbal, with the ability to interact confidently with individuals at all levels.
  • Discretion and confidentiality in handling sensitive information.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Knowledge of basic office equipment operation (e.g., printers, scanners)
  • Familiarity with Apple Computers is a plus
  • Ability to remain calm under pressure and adapt to changing priorities.
  • Resourcefulness and problem-solving skills.
  • Previous experience in project management or event planning is a plus.

Additional Information: This is a full-time position based in Burnaby, British Columbia. The successful candidate will have the opportunity to work closely with the CEO and contribute to the success and efficiency of the organization as a whole. Compensation and benefits package will be commensurate with experience.

Job Type: Full-time

Salary: From $50,000.00 per year. Salary noted is a base and increases based on experience.
