Position Summary:
This is a temporary position to cover a 12 month mat leave. As the Proposal Administrator, you will provide support to the Estimating Team in the coordination and development of proposals and other project related activities as needed to successfully win projects.

Duties:

  • Reviewing and analyzing request for proposal (RFP) documents issued from the Client, and preparing checklists of required documentation and forms to complete
  • Performing detailed review of proposal documents in order to identify mistakes in formatting, spelling, grammar and content
  • Entering and maintaining data to keep track of deadlines/bid submissions/RFQ(s)/Clarifications and upcoming projects
  • Downloading, organizing and uploading to Alstar's network all files
  • Keeping the Project Bid Portals current with Sub-trade(s) that have been sent RFQ(s) and what we have received back, as well, Proposal Requirements needed to complete the Project
  • Submit Bid Proposals using Email and Google Drive Links
  • On occasion, helping the estimators with Material and Quantity Take-Offs
  • Preparing transmittals to track communications with Alstar's Clients.
  • Setting up Pre-Qualification Questionnaires sent by Clients for potential future bids and submitting the appropriate information back to the Client
  • Performing Document Control on Estimating Templates, emails, and other associated documentation current to this role
  • Multi-tasking to meet strict deadlines for Closing Projects
  • Handling the internal and external communications for the Estimating Department by relaying emails, phone calls and other related forms of communication
  • Keeping the Estimating Calendar up-to-date with upcoming deadlines, projects and meetings

Who you are:

  • 1 year experience working in a supporting role for a high performance team
  • Completion of High School Diploma is a must, degree or diploma preferred
  • Working knowledge of Google Suite or Microsoft Office
  • Ability to prioritize and manage the workload in fast-paced environment
  • Detail-oriented with high level of accuracy
  • Technical writing skills are an asset
  • Excellent verbal and writing communication skills
