Job Title: Project CoordinatorJob ID: JW5296506714Location: North Vancouver, BCOverview:The Project Coordinator supports general project management activities including document authoring, control and transmittals; project travel and logistics coordination and administrative support to the project management team. What you will be doing:
  • Performs project document control and authorization management including document editing, deposit, retrieval, version control and workflow.
  • Trains other users and ensures project compliance to the document control procedures as applicable. Performs other tasks as a super-user of document control system.
  • Authors, sends and tracks project communications and transmittals and monitors project adherence to contractual and procedural communications.
  • Supports various project management activities. Maintains and tracks project commitments and obligations register, and monitors program commitments to established schedule in support of maintaining program schedule, cost, safety and quality goals.
  • Enters data to project schedule, resource tracking and risk/issues registers. Maintains trackers to ensure items are actioned within established deadlines and potential risk is mitigated.
  • Organizes, analyses and edits data for the generation of reports to internal and external stakeholders to ensure that project requirements are understood.
  • Assists in cost tracking and project-specific budgeting.
  • Maintain project map and administers project decision and authorization system.
  • Supports project compliance activities (e.g. audits) and maintains change management registers and project change management systems.
  • Arranges travel for project team and supports project activities during delivery.
  • Organizes meetings and logistics, including agenda circulation, minute-taking and PowerPoint presentation creation.
  • Assists with selection and development of project management and operations systems.
  • Creates and maintains standard operating procedures (SOPs) to ensure process changes are captured, and the most current SOPs are available to all team members.
  • Support community-based activities and general liaison amongst project partners.
  • Performs additional project support duties as required.
What you must have:
  • Experience with PMO functions, project management and/or holding a project management certification is an asset.
  • 2 - 3 years of experience in project coordination, management, or document control (large or complex projects preferred).
  • Experience working with Microsoft Teams/SharePoint, Project or tools such as JIRA is an asset.
  • Report writing and database experience is desirable.
  • Proactive self-starter who is comfortable in a fast-paced environment and is attuned to project deadlines and deliverables.
  • Organizational, prioritization, time management and multi-tasking skills.
  • Interpersonal and communication skills, both verbal and written.
  • Accuracy and a keen attention to detail.
  • Proficient in Microsoft Word, Excel, PowerPoint, SharePoint and Outlook.
  • Ability to learn software and business tools and systems.
