The Project Administrator is a vital position for MacKay Contracting Ltd. to provide support and assistance to our Project Management team to maintain efficient and high-quality execution of our numerous projects at any given time.
Location & Hours:
This role will be located in the Cranbrook office located at 1600A Theatre Rd., Cranbrook B.C. and will have regularly scheduled hours of five (5) days on / two (2) days off, Monday through Friday, minimum eight (8) hours per day, 8:00 a.m. – 5:00 p.m. This position will involve travel to the various jobsites, and when not in the field, is to be maintained from the office. There may be occasion(s) where overtime and/or weekend work may be required but is not expected to make up a major component of the role.
Responsibilities & Duties:
- Assist Project Management in coordinating and organizing Project activities, including but not limited to scheduling, documentation, and communication
- Conduct quality control inspections to ensure compliance with Project specifications and industry standards
- Perform regular inspections of work sites to identify and address any quality issues or deviations
- Document and report quality control findings and recommend corrective actions when necessary
- Collaborate with Project team members and subcontractors to ensure smooth Project execution and adherence to quality standards
- Follow all safety protocols and guidelines to maintain a safe working environment
- Support the Project team in maintaining accurate Project records, including progress reports, daily logs, and documentation of change orders
- Ability to take bi-weekly and or monthly progress measurements, in coordination with Project Supervisor
- Communicate effectively with team members, subcontractors, and clients to address any Project-related concerns or inquiries
- Assist with procurement and inventory management, including tracking and ordering of materials and supplies
- Stay updated on industry trends, regulations, and best practices related to Project administration, quality control, and labourer duties
- Daily completion of timecards and FLHA reports/forms
- Completing any tasks assigned by the Project Management team in an efficient and timely manner
- Additional duties as may be assigned

- Ability to give and follow both oral and written instructions
- Excellent interpersonal communication and influencing skills with internal and external stakeholders at all levels
- Ability and desire to work collaboratively to ensure successful Project execution
- Proficient at report writing, review and interpretation of results
- Proficient in computers and Microsoft systems including MS Word, Excel, Outlook and Teams, and common smartphone applications
- Ability to work effectively in a team as well as independently
- Hold a valid Class 5 driver's licence with a clean driver's abstract and practice safe driving habits always
- Ability and willingness to travel and work remotely as needed
- Flexibility to work overtime and/or weekend shifts, as needed
- Ability to work outside in all types of weather
